Paragon Landscape Construction and Paragon Property Management are award-winning companies serving high-end residential and commercial clients throughout Eastern Massachusetts. We are seeking an experienced, organized, and dependable Administration & Human Resources Manager to oversee the day-to-day administrative functions of our office while supporting our employees and leadership team.
This is a key leadership position responsible for managing payroll, human resources, bookkeeping support, office administration, and executive support. The ideal candidate is a proactive professional who enjoys creating organized systems, supporting employees, and helping a growing company operate efficiently.
Responsibilities
Payroll & Accounting
- Process weekly payroll accurately and on time
- Maintain payroll records and employee deductions
- Perform accounts payable and accounts receivable
- Perform bookkeeping and account reconciliations
- Support the Financial Manager with accounting and administrative tasks
- Maintain organized financial records and documentation
Human Resources
- Manage employee onboarding and new hire paperwork
- Maintain employee personnel files and records
- Administer employee benefits and 401(k)
- Track PTO and employee leave
- Maintain HR policies and employee handbook
- Ensure compliance with employment laws and company policies
Insurance & Risk Management Support
- Manage administrative support for company insurance policies and renewals
- Coordinate documentation for general liability, workers’ compensation, auto, and property insurance
- Assist with insurance claims reporting and follow-up
- Maintain organized claim records, incident reports, and supporting documentation
- Coordinate communication between employees, management, insurance carriers, and outside representatives
- Track certificates of insurance and vendor/subcontractor compliance documentation
Office Administration
- Oversee daily office operations
- Supervise administrative staff
- Develop and improve office procedures
- Maintain office supplies, equipment, and vendor relationships
- Coordinate meetings and company events
- Prepare correspondence, reports, and presentations
- Provide administrative support to the owners and leadership team
- Handle confidential information with professionalism and discretion
Qualifications
- Five or more years of experience in office management, human resources, payroll, or administration
- Experience with payroll processing and bookkeeping
- Strong organizational and communication skills
- Ability to manage multiple priorities and meet deadlines
- High level of professionalism, integrity, and confidentiality
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with QuickBooks and payroll software preferred
- Experience with Aspire Software a plus
- Construction, landscape, or property management experience is a plus
