Office Administrator
This position is 100% in office in Woodinville, WA.
Job Overview:
This role is multi-faceted and very cross-functional. This role will be hands-on support for leadership and the office; they will assist with a multitude of tasks across several departments. This role is a vital part of day-to-day success at HTI.
Responsibilities and Duties:
· Provide full life cycle support for subcontractor paperwork.
· Coordinate with project managers and accounting to ensure subcontractor compliance.
· Assist with onboarding new subcontractors.
· Maintain organized records of all COIs issued.
· Set up jobs, enter cost codes, and change orders in Sage.
· Prepare, review, and submit Canadian Regulation 105 waiver applications.
· Prepare, complete, and submit prequalification forms for general contractors, construction managers, and public agencies.
· Request certificates of insurance from our agent and distribute them to the customers.
· Manage online prequalification portals.
· Track vehicle, trailer and truck registrations and ensure they are up to date.
· Order and maintain medical surveillance, fit tests and other tests required by OSHA.
· Review DOT logs.
· Track and monitor grinder GPS functionality.
· Ensure clear and concise communication between the field and the Director of Safety and Compliance.
· Data entry and cross functional communication.
· Maintain organized and up to date digital files.
· Enter, update, and maintain project financial data in accounting software.
· Monthly reporting.
Requirements:
- Minimum of three years of work experience in multi-functional office roles.
- Experience with DOT standards preferred.
- Demonstrates skill and accuracy when working with data.
- Experience using the Microsoft Office Suite.
- Strong interpersonal and communication skills.
- Highly organized, detail-oriented, and ability to multi-task.
- Ability to learn new software and processes.
- Capability to seek out tasks and take initiative.

Pay: $80,000.00 - $90,000.00 per year
