We are seeking an experienced Office Manager to join our team. This position serves as a key administrative and accounting resource within the organization, helping ensure customer billing, financial processes, reporting, customer service, and day-to-day office operations run efficiently and accurately.
The Role
This is a highly visible position responsible for managing accounting functions, customer billing, administrative operations, reporting, and customer service support. You will work closely with managers, customers, vendors, and internal departments to help drive efficiency, accuracy, and exceptional service throughout the organization.
What You'll Be Doing
Accounting & Billing
- Manage accounts receivable and accounts payable activities
- Process customer billing, invoicing, collections, and contract administration
- Assist with job costing, reporting, and financial tracking
- Ensure accurate data entry and financial record management
- Reconcile information and maintain accounting documentation
- Utilize Excel and other software systems to analyze and manage data
Office Management & Administration
- Coordinate daily administrative operations
- Maintain customer, contract, job, and billing records
- Generate operational, financial, and management reports
- Support managers with special projects and administrative initiatives
- Assist in improving processes and maintaining efficient workflows
Customer Service & Communication
- Serve as a key point of contact for customers and vendors
- Resolve customer concerns promptly and professionally
- Build positive relationships with clients and internal team members
- Ensure timely and accurate communication across departments
Organization & Leadership
- Coordinate administrative functions and office activities
- Prioritize multiple projects and deadlines effectively
- Maintain a high level of attention to detail and accountability
- Support a positive, team-oriented work environment
Who We're Looking For
This role is best suited for someone who is highly organized, detail-oriented, and comfortable balancing accounting responsibilities with office management duties.
You might be:
- An Office Manager with accounting or bookkeeping experience
- An Accounting Coordinator looking to expand into operations and administration
- An Administrative Professional who enjoys working with numbers and financial processes
Experience
- 5+ years of office management, accounting, bookkeeping, or administrative leadership experience preferred
- Experience with accounts receivable, accounts payable, invoicing, collections, and reporting
- Advanced proficiency in Microsoft Excel and Microsoft Office
- Experience with job costing, financial reporting, or contract administration is a plus
- Excellent communication and customer service skills
- Strong organizational skills with the ability to manage multiple priorities
- Accounting, business, or related degree preferred but not required with equivalent experience
