Duties
- Serve as the first point of contact at the front desk, welcoming visitors and tenants with professionalism and warmth
- Guide prospective applicants through the application process, explaining required documentation (identification, proof of income, employment verification, references, and related paperwork) and helping them assemble complete submissions
- Assist tenants in gathering and completing compliance-related documentation, including lease agreements, renewals, income certifications/recertifications, and any program-specific paperwork
- Review incoming applicant and tenant documents for completeness and accuracy, following up promptly to obtain missing or expiring items
- Manage multi-line phone systems, directing calls accurately and courteously while providing exceptional customer support
- Maintain organized filing systems, ensuring all documents are properly stored and easily accessible
- Perform data entry tasks using Microsoft Office and Google Workspace, updating records with precision and attention to detail
- Support office management activities by coordinating supplies, proofreading correspondence, and maintaining a clean workspace
- Safeguard the confidentiality of sensitive applicant and tenant information in accordance with fair housing and privacy standards
Qualifications
- Proven office experience with strong clerical and administrative skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Experience handling confidential documentation and detail-oriented file management; familiarity with leasing, income certification, or housing compliance paperwork is a strong plus
- Comfort explaining paperwork requirements clearly and patiently to a diverse applicant and tenant base
- Excellent organizational skills with the ability to prioritize tasks and manage documentation deadlines effectively
- Strong typing skills and computer literacy to handle data entry accurately
- Bilingual abilities are a plus to assist a diverse tenant base
- Exceptional phone etiquette with experience managing multi-line phone systems
- Previous personal assistant or office management experience is advantageous
- Demonstrated time management skills to handle multiple responsibilities efficiently
