Position Summary
The Construction Project Coordinator is responsible for protecting the Company, enforcing financial discipline, and ensuring project-related documentation, approvals, commitments, and payments comply with Company policy and contractual requirements. This role manages the project accounting functions for assigned construction projects, including tracking costs, maintaining budgets, processing commitments, supporting invoicing, administering change orders, and providing accurate financial reporting. The Construction Project Accountant works closely with Project Managers and other stakeholders to support project profitability, maintain financial accuracy, and identify potential risks.
Primary Duties and Responsibilities
Project Financial Coordination
- Develop and maintain project budgets, cost reports, forecasting tools, and financial tracking for assigned projects.
- Monitor project costs against budgets and identify variances requiring Project Manager review.
- Record and maintain project-related costs including labor, materials, subcontractors, equipment, rentals, and overhead.
- Ensure project financial information is accurate, complete, and entered timely.
- Generate project financial reports including cost reports and variance reports.
Contract & Commitment Administration
- Prepare and issue subcontracts in accordance with prime contract requirements and Company procedures.
- Maintain subcontract files including compliance documentation, insurance, certified payroll (when applicable), subcontract modifications, and supporting documentation.
- Prepare, issue, and maintain purchase orders for project materials, equipment, rentals, and services.
- Maintain all commitment documentation and supporting records throughout the project lifecycle.
Change Order Administration
- Prepare, issue, track, and maintain owner, subcontractor, and purchase order change orders.
- Ensure change orders are properly documented, approved, executed, and incorporated into project financial records.
- Maintain complete documentation supporting all project changes.
Invoice & Billing Support
- Review subcontractor and vendor invoices for accuracy, completeness, coding, approvals, and contractual compliance.
- Coordinate invoice processing and payment documentation.
- Support preparation and submission of owner billings based on contract requirements and project progress.
Project Controls & Reporting
- Analyze project financial performance and identify cost trends, budget variances, potential risks, and opportunities.
- Assist Project Managers with project forecasting and cost projections.
- Prepare regular financial reports for Project Managers and senior leadership.
- Support project closeout activities by ensuring documentation is complete and financial records are accurate.
Insurance & Compliance Administration
- Administer project-specific Contractor Controlled Insurance Program (CCIP) requirements, including subcontractor enrollment and compliance.
- Maintain project compliance documentation.
- Understand construction contracts and ensure financial and administrative compliance with contractual requirements.
- Support internal audits and project financial reviews.
Project Coordination
- Coordinate with Project Managers, estimators, field personnel, accounting, vendors, subcontractors, and clients regarding project financial and administrative activities.
- Maintain project records, logs, correspondence, and documentation.
- Assist with improving project accounting, reporting, and administrative processes.
- Build and maintain positive relationships with internal teams, owners, vendors, and subcontractors.
- Perform other duties as assigned.
Required Skills and Qualifications
- Bachelor's degree in Construction Management, Accounting, Finance, Business, or related field preferred.
- Construction project coordination, project administration, project accounting, or project controls experience preferred.
- Strong understanding of construction contracts and project documentation.

Physical Requirements and Working Conditions
- Typical office environment with regular computer use.
- Occasional travel to active construction projects.
- Ability to sit for extended periods while performing computer-based work.
- Ability to occasionally visit construction sites requiring walking over uneven terrain and wearing appropriate PPE.
Pay: $80,000.00 - $100,000.00 per year
