JOB SUMMARY
The Administrative Assistant provides clerical and administrative support to the clinical research team at the Winter Park site. This role works directly under the Research Manager and supports Clinical Research Coordinators (CRCs) with administrative tasks to ensure the smooth operation of the clinic. The Administrative Assistant plays a key role in maintaining organization, supporting documentation processes, and assisting the research team as needed.
RESPONSIBILITIES
- Perform general clerical duties including filing, copying, scanning, and faxing documents
- Request, collect, and organize patient medical records from external providers
- Maintain accurate and up-to-date patient charts and documentation
- Retrieve and prepare charts for CRCs as needed
- Locate and organize charts for study-related activities and CRC review
- Assist CRCs with administrative aspects of study start-up and ongoing maintenance
- Maintain organization of regulatory binders, study files, and site documentation
- Assist with preparation and assembly of study packets, folders, and related materials
- Maintain and organize the kit room, ensuring supplies and study materials are properly stocked and accounted for
- Track and restock office and study-related supplies as needed
- Coordinate outgoing mail, shipments, and document distribution
- Ensure proper filing, storage, and handling of confidential patient and research documents
- Provide general support to the research team and assist with clinic operations as needed
- Maintain compliance with company policies, procedures, and documentation standards
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
- Strong organizational skills
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
- Proficient in Microsoft Office and general office systems preferred
- Strong communication and teamwork skills
- Detail-oriented, reliable, and able to maintain accurate records

MINIMUM REQUIRED EDUCATION, EXPERIENCE, AND CERITIFICATIONS
- Bachelor’s Degree preferred
- Entry Level Clinical Research Position
- Previous employment in the medical field is preferred
- Working knowledge of medical terminology is preferred
- Familiarity with medical records and documentation processes preferred
PHYSICAL REQUIREMENTS
- Prolonged periods of sitting at a desk and working on a computer
- Prolonged periods of standing, bending, and reaching
- Must be physically able to assist patients as needed, and able to lift up to 30 pounds at time
Pay: $16.82 - $19.23 per hour
