INVENTORY AND LOGISTICS COORDINATOR

Job Overview - General Summary
The Inventory and Logistics Coordinator will oversee all, inventory management, packaging logistics, Metrc compliance, vault management, wholesale order fulfilment operations in compliance with company procedures and state guidelines. The Inventory and Logistics Coordinator reports directly to the Director of Cultivation and will track post-harvest data with an eye to continuous improvement in process efficiency, processes, and procedures.
Responsibilities
Inventory and Compliance
· Maintain accurate inventory in tracking METRC
· Manage tracking, transfers, manifests and compliance documentation
· Coordinate wholesale inventory and outgoing orders
· Reconcile inventory discrepancies and maintain audit readiness
· Ensure compliance with all Massachusetts Cannabis Control Commission regulations
· Ensure that harvested batches are sent for independent lab testing, coordinate with testing labs and ensure that batch COAs are recorded
· Ensure that all processed material is properly packaged, tracked, and labeled according to state guidelines
Operations and Logistics
· Prepare, review, and maintain required transfer and shipping documentation
· Track products throughout testing, manufacturing, packaging, and distribution
· Coordinate with third-party packaging vendors for wholesale products
· Manage order preparation, scheduling, and fulfillment
· Collaborate with sales and cultivation teams to ensure smooth operational flow
· Help improve SOPs and operational efficiency
· Institute and enforce best workplace practices in compliance with the company’s standard operating procedures (SOPs) and state guidelines to ensure a safe working environment and safe product handling
· Responsible for data collection, recording, and reporting weight metrics throughout the entire post-harvest process and ensure compliance with METRC product tracking
· Responsible for ensuring and logging all post-harvest batch weights in the appropriate spreadsheet/tracking software
· Oversee post-harvest work in accordance with the needs of the production schedule
· Train and confirm that all post-harvest staff follow and execute the company's standard operating
· Ensure completed transfers are properly documented and reconciled
· Perform accurate and timely data entry across multiple software platforms
· Maintain spreadsheets, inventory reports, shipping records, manifests, and other documentation
· Generate inventory and logistics reports as requested
· Maintain organized digital and physical records
Order Fulfillment and Shipping
· Receive and process wholesale and retail orders
· Pull and physically fulfill orders accurately and efficiently
· Verify product type, quantity, package information, destination, and order details before shipment
· Prepare completed orders for pickup and transportation
· Coordinate pickup and delivery schedules
· Arrange transportation with approved/licensed cannabis transporters
· Communicate with transporters regarding pickup times, delivery windows, addresses, manifests, and special instructions
· Track shipments from the time an order is fulfilled through final delivery
· Communicate with retail partners, co-packers, laboratories, and transportation providers to ensure orders arrive accurately and on schedule
Vault Management
· Maintain accurate inventory records for facility vaults and secure storage areas
· Conduct routine vault counts and reconciliations
· Ensure product is properly organized, labeled, secured, and accounted for
· Monitor movement of product into and out of vault areas
· Investigate and report discrepancies promptly
· Help maintain an organized and audit-ready vault environment
Required Education, Experience, and Skills
· High school diploma or equivalent
· Must be 21 years old
· Must pass a comprehensive background check as mandated by the Massachusetts Cannabis Control Commission
· At least 4 years of commercial post-harvest or cultivation experience, in a supervisory role
· Expert in METRC Seed-to-Sale regulatory cannabis system
· Fluent with ERP platforms, i.e. TRYM, DISTRU, APEX
· Thorough knowledge of cannabis cultivation protocols, policies, and procedures
· Awareness of the harvest, processing and packaging schedules
· Effective and accurate data entry skills
· Skilled in general computer operating systems and applications, including MS Office Suite (Excel, Word, PowerPoint, SharePoint and Outlook).
· Experience using automated processing equipment
· Ability to visually examine the work environment to identify potential safety/OSHA violations
