Legal Assistant/Intake and Marketing Specialist
A growing family law office with a high-volume caseload is seeking a reliable, trauma-informed, and proactive Legal Assistant/Intake and Marketing Assistant. This pivotal role requires a self-starter with superior organizational and writing skills who can multitask effectively and catch on quickly in a fast-paced environment.
Key Responsibilities
Intake and Client Management
· Conduct potential client intakes and conflict checks and client scheduling using a compassionate, trauma-informed approach.
· Serve as the primary receptionist, including answering phones and providing exceptional customer relations and hospitality.
· Manage client accounts, including discussions regarding retainers and payment plans, with professionalism and discretion.
· Draft and keep track of administrative documents (fee agreements, intake forms, Releases of Information, Records Requests, etc).
· Communicate with empathy and clarity with clients, opposing attorneys, court personnel, potential case witnesses, and third-party professionals.
Legal Drafting and Correspondence
· Draft, proofread, and edit complex legal correspondence and documents. Must be an excellent writer with meticulous attention to detail. Copy editing skills/experience are strongly preferred.
· Assist attorneys with substantive legal drafting, including motions, declarations (e.g., ORCP 68), pleadings, and agreements (e.g., prenuptial agreements).
· Prepare and update form letters and form documents.
· Prepare closing letters and non-engagement documents.
Firm Marketing and Website Support
· Assist with the management of the firm’s website, including content updates and minor edits.
· Coordinate and assist in the preparation of various marketing materials (e.g., social media content, newsletters).
· Ensure all communications adhere to professional and ethical standards.
Case Management and Filing
· Perform state court eFiling and submissions to administrative bodies.
· Handle service of documents to opposing counsel and parties via mail and e-service.
· Create, update, and maintain electronic case files using case management software (e.g., Clio).
· Manage and maintain legal staff calendars, including docketing deadlines and court dates.
· Prepare and organize trial materials, including exhibits and trial binders.
· Manage document production, including the redaction of sensitive financial documents.
· Send and log outgoing mail, and scan and properly file all incoming mail.
· Support other legal staff as requested.
· Other duties as required/ requested by legal staff and principal attorney.
Required Skills and Qualifications
· Trauma-informed approach to client interaction is essential.
· Proven ability to multitask and thrive in a fast-paced, high-volume caseload environment.
· Proven ability to budget time, hierarchically prioritize task list, and proactively communicate with colleagues when additional support is needed.
· Superior organizational, interpersonal, and communication skills (verbal and written).
· Excellent attention to detail is mandatory.
· Demonstrated ability to catch on quickly and execute assignments with minimal direction.
· Positive attitude.
· Familiarity with general office systems, technology, and ability to troubleshoot basic IT issues.
· Proficiency with Microsoft Office programs, Adobe Acrobat, and other relevant office software.
· Experience with State Court e-filing systems or case management software (e.g., Clio) is strongly preferred.
