Overview
This position works directly with the Data Management Supervisor to perform a variety of technical duties and must demonstrate proficiency in Microsoft Office and other databases (HCSIS and PROMISe) as required.
ESSENTIAL FUNCTIONS
Assembles and submits to ODP through the PROMISe portal, information for new and revalidation PROMISe applications encompassing all ID/BH/Autism Service Locations within the agency.
Processes and maintains all licensing, new and renewed applications and Civil Rights Compliance Questionnaires/Charts for the Agency’s ID/A/BH/Day Programs, both through the CLS Portal system and paper submissions. Updates site address information to existing licenses and generates new licenses.
Monitors all applications and licensing information to ensure all are submitted within specified timelines.
Establishes and maintains contact with key county, state and regional personnel to ensure accurate information processing occurs for Licensing and PROMISe.
Liaison with respective agency program and fiscal staff to ensure accurate information is accrued for Licensing and PROMISe.
Monitors and updates SILo (in house database) to ensure accurate information is entered by all key personnel. Updates include scanning and entering data pertaining to site locations, PROMISe applications, approvals from ODP, and licensing updates.
Updates HCSIS and PROMISe (state) databases as necessary.
Establishes Procedure Codes (billing Codes) in HCSIS as requested by respective ID and BH Service Directors and VP of Operations.
Maintains status updates to PROMISe database by providing appropriate paperwork to PROMISe for Service Location Code Closures.
Works with IT department to ensure SILo database, has functionality and updates as needed.
Participates and attends conferences, seminars, trainings, and meetings as instructed.
MINIMUM QUALIFICATIONS/REQUIREMENTS

Education and/or Experience:
Associate Degree in Business or related field of study; and
2 years administrative support experience
2 years experience using Microsoft Office required (inclusive of Word, Excel, Access and Adobe Acrobat Pro) preferred.
