Overview
We are seeking a highly organized and proactive Executive Assistant to join our team. In this vital role, you will support our leadership with administrative tasks, manage daily operations, and ensure smooth communication across departments. Your energetic approach and attention to detail will help drive efficiency and contribute to the continued success of our organization. Duties
- Sit in as a proxy for the CEO and COO
- Manage calendars, schedule appointments, and coordinate meetings for executives and team members
- Coordinate company events from start to finish
- Lead the charge with Human Resources admin duties
- Assist with Marketing tasks
- Have some basic knowledge of using Ai and other modern tech
- Handle incoming calls using multi-line phone systems with professionalism and courtesy
- Prepare, proofread, and organize documents using Microsoft Office and Google Workspace tools
- Assist with office management tasks such as filing, data entry, and maintaining office supplies
- Provide exceptional customer service at the front desk, greeting visitors and managing inquiries
- Support bookkeeping activities including basic QuickBooks data entry and record keeping
- Facilitate communication between departments, clients, and vendors to ensure timely responsesQualifications
- Proven office management or administrative experience in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills
- Excellent organizational skills with the ability to multitask effectively
- Bilingual abilities are a plus for serving diverse clients and team members
- Experience with clerical tasks such as filing, proofreading, calendar management, and phone etiquette
- Knowledge of QuickBooks, bookkeeping, or medical/dental receptionist experience is advantageous
- Demonstrated customer service skills with a professional demeanor and positive attitude

Pay: $50,228.77 - $60,490.56 per year
