Every great patient experience starts before the appointment ever happens. It starts with the person who answers the phone, sorts out the scheduling puzzle, and makes a nervous new patient feel like they've finally landed somewhere that gets it.
At Family Nutrition Solutions, we help families get to the root of what's really going on with their health—no fad diets, no shame, no rushed 7-minute appointments. We're a functional nutrition practice that takes insurance (a rarity, and we're proud of it), and we treat the whole person, kids included. Behind every visit is a team that genuinely likes each other and likes the work. We want you in it.
What you'll actually be doing
You'll be the operational heartbeat of our patient experience. On any given day, that looks like:
- Following up on new referrals. When a new patient comes our way, you'll move on it the same day, not "when you get to it." You understand that a quick, friendly outreach is the difference between someone booking and someone slipping away.
- Owning the phones. You're comfortable picking up, calling out, and having real conversations with patients. You can answer a question, calm a worry, and confirm a detail without breaking a sweat.
- Keeping the schedule airtight. You'll book, reschedule, and gently but firmly hold the line on our cancellation policy so our providers' time is protected and patients stay on track.
- Juggling the to-do list. You'll know what's urgent, what can wait, and how to keep ten plates spinning without dropping the one that matters most.
- Protecting patient privacy. You take confidentiality and HIPAA seriously, every single time.
Who you are

- Detail-obsessed. Typos, double-bookings, and missed follow-ups make your eye twitch (in the best way). You catch the small stuff before it becomes the big stuff.
- A self-starter who still raises a hand. This is a primarily remote role, so you'll need to run your own day without someone hovering. But our favorite kind of independent person is one who isn't afraid to say "Hey, quick question" rather than guess. Confidence and curiosity.
- Wired with a sense of urgency. You don't sit on things. You follow through, close the loop, and like the satisfying feeling of an empty inbox.
- Tech-comfortable. You can learn new software without panic, live happily in multiple browser tabs, and aren't intimidated by the systems that keep a modern practice humming.
- Warm and human. You're the kind of person who makes people feel taken care of. Patients should hang up the phone feeling better than when they called.
The logistics
- Remote within North Carolina (we're based in Wilmington and serve patients virtually across the state). Occasionally coming into the office or socializing with the team.
- Flexible hours between 8:00 AM and 3:00 PM. You'll flex your schedule around our office manager's school calendar so we always have coverage. If you want predictable-ish hours with some give-and-take, this works beautifully. If you need a rigid 9-to-5, this probably isn't your fit.
- You'll have a real team behind you (and a group chat that's genuinely fun to be in).
