We are seeking a dynamic, mission-aligned, and highly organized Clinical Operations Manager to oversee the operational, administrative, and compliance functions of our reproductive healthcare clinic. This leadership role serves as a bridge between clinic management and organizational operations, ensuring the clinic functions efficiently, safely, and sustainably while supporting high-quality, patient-centered abortion and reproductive healthcare services.
The Clinical Operations Manager is responsible for day-to-day clinic operations, staff supervision, regulatory compliance, quality improvement, financial oversight, and operational planning. Working closely with the Executive Director, Medical Director, and clinical team, this position helps create the systems, infrastructure, and culture necessary to deliver exceptional care while advancing reproductive justice and health equity.

Key Responsibilities
Clinical Operations & Program Management
- Oversee daily clinic operations, including patient flow, scheduling systems, staffing coordination, inventory management, and facility readiness.
- Ensure efficient and patient-centered delivery of abortion care, miscarriage management, contraception, STI services, and related reproductive healthcare programs.
- Develop, implement, and maintain operational policies, workflows, and standard operating procedures.
- Coordinate operational support for service expansion, new program implementation, and quality improvement initiatives.
- Collaborate with clinical leadership to identify operational needs and implement solutions that improve patient access and experience.
Compliance, Quality & Risk Management
- Ensure compliance with all federal, state, and local regulations, including HIPAA, OSHA, CLIA, licensing requirements, and organizational policies.
- Maintain clinic readiness for audits, inspections, accreditation reviews, and grant-related compliance requirements.
- Support quality assurance, incident reporting, risk management, and continuous quality improvement activities.
- Monitor and maintain systems related to patient confidentiality, medical records, safety protocols, and documentation standards.
- Coordinate clinic emergency preparedness, security planning, and workplace safety initiatives.
Financial & Administrative Operations
- Support budget development, expense monitoring, vendor management, and operational reporting.
- Oversee revenue cycle processes, including scheduling workflows, insurance verification, billing coordination, and reimbursement tracking.
- Monitor operational metrics and key performance indicators, including patient volume, service utilization, financial performance, staffing efficiency, and patient satisfaction.
- Identify opportunities to improve operational efficiency and financial sustainability.
Staff Leadership & Human Resources
- Supervise administrative, patient support, and operational staff while fostering a collaborative, accountable, and trauma-informed workplace culture.
- Support recruitment, onboarding, orientation, scheduling, performance management, and staff development.
- Facilitate regular team meetings, training initiatives, and communication across departments.
- Address workplace concerns, operational challenges, and conflict resolution in partnership with organizational leadership.
- Promote staff wellness, retention, and professional growth.
Systems & Infrastructure
- Manage clinic technology platforms, including EMR/EHR systems, scheduling software, reporting tools, and operational databases.
- Ensure accurate documentation, data collection, and reporting for internal evaluation, grants, and regulatory requirements.
- Oversee inventory systems, supply management, equipment maintenance, and vendor relationships.
- Support facility operations and maintenance to ensure a safe, welcoming, and compliant clinical environment.
Strategic Operations Support
- Partner with the Executive Director and Medical Director to support organizational goals, growth initiatives, and long-term sustainability.
- Assist with grant implementation, operational planning, and special projects.
- Contribute to organizational decision-making by providing operational analysis, recommendations, and reporting.
- Support community-centered initiatives that advance access to reproductive healthcare and reduce barriers to care.
Qualifications & Experience
- Bachelor's degree in Healthcare Administration, Public Health, Business Administration, Nursing, or a related field preferred; equivalent experience will be considered.
- Minimum 3–5 years of healthcare operations, clinic management, or medical practice leadership experience.
- Demonstrated experience supervising multidisciplinary teams in a healthcare setting.
- Strong knowledge of healthcare compliance, HIPAA, OSHA, risk management, and quality improvement practices.
- Experience managing budgets, operational reporting, and revenue cycle functions.
- Proficiency with EMR/EHR systems such as AthenaOne, Epic, eClinicalWorks, or similar platforms.
- Strong organizational, project management, problem-solving, and communication skills.
- Ability to manage multiple priorities while maintaining attention to detail and a patient-centered approach.
- Experience in reproductive healthcare, abortion care, family planning, community health, or sexual and reproductive health strongly preferred.
