Why this role
The Engineering Company (TEC) is a growing civil and heavy civil engineering firm delivering public infrastructure projects across South Florida. We are hiring one person to work directly alongside our Principal.
The job is simple to describe and hard to do. Keep every line moving so the Principal stays on the work only he can do. Proposals out the door. Follow ups that don't slip. Meetings set. Invoices billed and collected. Accounts opened. Nothing dropped, and nothing sitting in a queue waiting on a decision that should already have been made.
This is not a calendar and travel job. You will be inside the actual operating machinery of the business.
Who we're looking for
Fast, sharp, and relentless about follow through. You track a dozen open threads without a list telling you to. You would rather ask one good question than three vague ones. When something is stuck, you either unstick it or flag it. You don't let it sit.
You also know your way around AI tools at a real working level. Not "I have used ChatGPT." You use frontier models every day as part of how you work, you write and debug your own scripts and automations, and when you hit a repetitive task you look for the leveraged way to handle it instead of grinding through it by hand. That skill is central to this job.
Be clear eyed about the intensity. Long hours, occasional weekends, real pressure, high standards. In exchange you get proximity to every part of how an engineering firm runs, and a role that grows as fast as you do.
What you'll own
- The Principal's calendar, inbox, and priorities, and protecting his time from everything that does not require him
- Proposal coordination, including assembling packages, tracking deadlines, and chasing the pieces
- Sales and business development support, including follow up calls and emails, scheduling meetings, and keeping the pipeline moving so nothing goes cold
- Billing, invoicing, and collections follow up, plus account setup and vendor and client coordination
- Project management support, tracking deliverables, deadlines, and action items across active projects
- Building AI assisted workflows and automations that make all of the above faster
- Meeting notes, agendas, and making sure decisions turn into action
- Keeping the office and internal operations running without friction
First 90 days success looks like
You know the Principal's priorities well enough to triage without asking. Proposals and invoices go out on time without anyone tracking them. Follow ups happen whether or not anyone remembers them. You have automated at least two things that used to eat time. The category of work you own has stopped being a worry.
Where this role goes
You will own billing and collections from day one, along with the rest of the operating work around the Principal. As we bring on additional finance and admin support, you will help define those roles, take part in hiring, and oversee the handoff. The pattern holds across the job. You take work off the Principal's plate, build the system that runs it, then hand it to someone you helped bring in. This role expands as the firm does.
Required
- Bachelor's degree
- 3+ years supporting an executive, owner, or principal (5+ preferred)
- Advanced proficiency with frontier AI models as a daily working tool
- Ability to write and debug code, including scripts, automations, and integrations
- Excellent written and verbal communication. You will write on the Principal's behalf to clients, agencies, and partners
- Exceptional organization and follow through across many simultaneous threads
- Comfort with long hours and occasional weekends during heavy periods
- Discretion with confidential business, client, and financial information
- In person in Aventura, FL. This is not a remote or hybrid role
- Authorization to work in the U.S. for any employer on a long term basis, without current or future need for employer sponsored work authorization (TEC does not provide visa sponsorship, including OPT to H-1B conversions)
Preferred
- Degree in engineering, business, finance, accounting, or another analytical field
- Experience in civil, heavy civil, construction, engineering, or A/E professional services
- Bookkeeping, invoicing, AR, or collections experience
- Proposal or bid coordination experience
- Familiarity with CRM, project management, and time tracking systems

Pay: $70,000.00 - $95,000.00 per year
