Role Description
Custom Controls of Arizona is seeking a highly organized and detail-oriented Administrative Assistant to support our administrative, accounting, purchasing, and operational functions.
This full-time, on-site role is responsible for a wide range of activities that help keep our business running efficiently, including processing orders and work tickets, reconciling packing slips and invoices, entering and paying vendor bills, invoicing customers, receiving payments in QuickBooks Online, supporting customer and vendor onboarding, assisting with purchasing activities, maintaining office supplies, and working with internal team members to resolve discrepancies and close work tickets accurately and on time.
Success in this role requires more than simply completing tasks. This position serves as a key administrative hub within the organization and requires someone who takes ownership of their work, follows through on commitments, and understands that accuracy and responsiveness directly impact our customers, vendors, and operations.

Responsibilities
- Reconcile packing slips with purchase orders and vendor invoices
- Enter vendor bills into QuickBooks Online (QBO)
- Process and pay vendor invoices
- Process customer orders and work tickets
- Generate and distribute customer invoices
- Receive and record customer payments in QuickBooks Online
- Assist with new customer and vendor onboarding
- Work closely with internal team members to resolve discrepancies and maintain accurate records
- Review and close completed work tickets
- Support purchasing activities and manage purchase orders as needed
- Maintain office and kitchen supplies, including printer supplies, paper products, beverages, and other essentials
- Provide general administrative and operational support as needed
Qualifications
- Experience in office administration, bookkeeping, accounting support, or a related role
- QuickBooks Online experience preferred
- Strong organizational and time-management skills
- Excellent attention to detail and accuracy
- Strong communication and problem-solving abilities
- Proficiency with word processing, spreadsheets etc. particularly with Google Workspace.
- Ability to prioritize tasks and manage multiple responsibilities
- Ability to work independently while remaining a collaborative team player

Pay: $22.00 - $27.00 per hour
