The Leave and Benefits Coordinator Functions as subject matter Lead and EXPERT on performing administrative and professional level functions of all leave items related to the Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), Long Term Disability (LTD), Sick Leave, N.Y. DBL/PFL and other related state and federal leave programs, as well as other Benefits Customer Service-related matters. The position serves as the subject matter expert for the leave programs, is responsible for program compliance and will serve as customer service liaison to the caregivers and administrative groups for benefits-related inquiries.
- Manage the entire leave process (including keeping proper and timely documentation) for all client employees from the commencement of a leave of absence through the return-to-work for each employee.
- Interprets and administers leave programs and policies in accordance with applicable federal and state employment laws, with absence management vendors.
- Advises, counsels, and educates employees on leave policies, procedures, and programs.
- Provides reports and updates on all leaves and returns
- Assists employees regarding eligibility concerns following vendor's determination.
- Opens claims in the absence management system when needed.
- Assist and support the facilitation of all medical information when needed and ensure that HIPAA and Employee Privacy guidelines are effectively executed.
- Manages all administrative aspects of leave claims and works closely with Payroll and department timekeepers to ensure that leave time processing and tracking in the timekeeping system is accurate and delivered timely.
- Responsible for the entering and updating of employee records in HRIS relative to leave start and end dates.
- Coordinates and arranges benefit premium payments through the communications process with payroll for individuals who will be on leave without paid time.
- Produces and manages reporting metrics and analytics for all leave programs when needed by extracting from the vendor site.
- Maintains confidentiality of sensitive information.
- Must comply with all HIPAA rules regarding authorized use, training, storage, and destruction of PHI.
- Research and remains aware of changes in applicable laws (i.e.: FMLA, HIPPA, ADA, etc.).
- Maintains the traffic flow of benefits inquiries through the Corporate Benefits email inbox.
- Collaborates with other Benefits, Compensation, and HRIS Team members to ensure data and other relevant information and communications produce the best possible employee experience.
- Performs other duties as assigned.
QUALIFICATIONS:
Bachelor's degree (Preferred) Expierence will be taken into consideration
Bi-lingual (Spanish ) speaking and writing required
minimum two (2) years of HR experience, with at least three (2) years of leave administration.
Knowledge of federal, state, and local leave regulations
worker's compensation laws, Experience with leave of absence policy provisions, carriers, and best practices in leave administration,
Excellent customer service skills, Ability to work independently, as well as collaboratively with multiple teams,
Excellent verbal and written communications skills, with a pleasant, warm, and caring phone demeanor,
Ability to work in a fast-paced organization while demonstrating initiative and independence,
Proficient with Microsoft Word, Excel, PowerPoint, Google Docs and Sheets and other office software.
