About the Role
We are looking for a sharp, detail-oriented Operations & Finance Coordinator to work directly alongside our VP of Operations and support the day-to-day operational and financial workload of a fast-growing CPG brand. This role is the operational backbone of our retail and fulfillment function — you will own the KeHe distributor relationship, manage purchase order processing, handle financial reporting, and keep the administrative engine of the business running smoothly.
This is not a passive support role. You will be hands-on, managing real processes that directly impact revenue, retail relationships, and business compliance. KeHe experience is a non-negotiable requirement for this position — if you have worked in the natural/beauty CPG space, have direct hands-on experience with KeHe, and are comfortable in both operational and financial environments, we want to hear from you.
What You Will Own
Distributor & Retail Operations
- Manage the KeHe Connect portal on a day-to-day basis
- Receive, process, and enter purchase orders into Extensiv
- Create and send invoices for all retail POs and track accounts receivable
- Monitor and resolve UDR (Unloading Discrepancy Report) notices from KeHe — investigate discrepancies, correct invoices, and communicate across impacted teams
- Coordinate retail shipments with the fulfillment center to ensure accuracy and on-time delivery
- Monitor EDI transaction flow through SPS Commerce once connection is fully active
Financial Support
- Compile and organize monthly sales reports across all platforms (PayPal, Authorize.net, retail) and prepare packages for the company accountant
- Track and reconcile retail invoices, chargebacks, and billing discrepancies
- Assist with accounts receivable follow-up with KeHe and other retail partners
- Support annual insurance renewal process and vendor contract documentation
Inventory & Fulfillment Coordination
- Track inventory levels across DTC, Amazon, and retail channels
- Flag reorder needs based on sales velocity and lead times
- Manage day-to-day communication with the fulfillment center
Administrative
- Maintain organized records for vendor agreements, contracts, and compliance documentation
- Support day-to-day administrative functions as the business scales
What We Are Looking For
- MUST HAVE KeHe experience. Direct, hands-on experience with KeHe — this is a hard requirement; portal navigation, PO management, and distributor processes must be familiar territory
- Background in the beauty, personal care, or natural products CPG space strongly preferred
- Finance or bookkeeping experience — comfortable pulling reports, reconciling invoices, and organizing financial data
- Familiarity with EDI and retail compliance requirements (case pack specs, GTINs, UDRs)
- Experience with order management systems such as Extensiv
- Highly organized and detail-oriented — this role involves many moving parts across multiple channels simultaneously
- Proactive communicator who can manage relationships with external partners (fulfillment centers, distributors, buyers) independently
- Comfortable in a fast-paced, small-team environment where priorities can shift quickly
- Proficiency in Excel/Google Sheets for financial tracking and reporting
Nice to Have
- Experience with Kroger or other major natural retail buyers
- Familiarity with SPS Commerce or other EDI platforms
- Experience working with 3PL fulfillment centers
