PURPOSE OF POSITION:
Under the direction of executive or senior leadership, serves as Executive Secretary with considerable latitude of initiative and judgment. Performs highly confidential and exceptionally difficult, complex, and responsible secretarial work. May perform designated administrative assignments and serve as a confidential aide.
Typical Tasks:
1. Takes dictation and makes transcription of important, complex, and/or highly confidential material. Uses shorthand or a transcribing machine.
2. May take minutes of proceedings, conferences, and meetings, prepare agendas, and make necessary arrangements.
3. Screens and determines priorities of telephone calls, messages, and incoming materials and routes to appropriate personnel and/or agencies.
4. Prepares and/or edits correspondence and confidential reports. Maintains all private and confidential files. Responsible for informing senior staff of all appointments and conferences.
5. Participates in and/or relieves healthcare executives of administrative duties, and performs the usual duties of a secretary acting in a highly responsible capacity requiring knowledge of NYC Health + Hospitals’ policies, practices, and procedures.
6. Performs research to compile and arrange data for consideration and determination of policy questions.
7. May supervise administrative/clerical personnel assigned to the office. Plans and reviews work assigned.
8. Makes confidential contact with healthcare executives and serves as a liaison between senior leadership within NYC Health + Hospitals, external offices, and/or agencies.
9. Performs related work, as assigned.
