Position Overview:
SERVPRO® Team Fox is seeking a highly organized and detail-oriented Job File Coordinator to support our production and administrative teams. If you currently work with Xactimate or a similar construction estimation program, we would like to speak with you. We will only contact those who currently meet this requirement.
As a Job File Coordinator, you will be responsible for ensuring that all job files meet internal and industry standards, supporting the team with accurate documentation, and facilitating a smooth workflow from job initiation to completion.
Key Responsibilities:
- Coordinate all job file documentation, ensuring compliance with SERVPRO® standards and IICRC guidelines.
- Upload, manage, and maintain accurate records in Xactimate/XactAnalysis and proprietary systems (WorkCenter, DryBook, etc.).
- Monitor and follow up on production processes to ensure timely job completion.
- Serve as a liaison between customers, insurance adjusters, and the production team.
- Submit estimates and invoices to clients and carriers; track payments and collections as needed.
- Prepare and review job files for auditing and compliance.
- Assist with scheduling, customer service calls, and general administrative duties.
- Support team members with administrative and data-entry tasks as needed.
Requirements:
- Strong organizational and communication skills
- Detail-oriented with the ability to multitask in a fast-paced environment
- Familiarity with restoration industry platforms like Xactimate, XactAnalysis, DryBook, or similar preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Customer service experience required; insurance or restoration industry background is a plus
- High school diploma or equivalent (college degree preferred)

Pay: $21.00 - $25.00 per hour
Expected hours: No less than 40 per week
