We are a Southern California Vascular Surgery practice with three surgeons and we are seeking a dynamic person to coordinate patient care.
Position Summary
We are looking for a dedicated Pipeline Coordinator to process Vascular patients through our pipeline. The ideal candidate will have experience coordinating, facilitating customer success, a strong understanding of health insurance, and scheduling clinical appointments. Pipeline Coordinators have the crucial responsibility of developing a positive experience for patients, as they are the main point of contact for patients with Western Vascular.
Creating/managing patient charts within our EMR system, scheduling clearance/pre-assessment appointments, and building Patient surgical packets are key job responsibilities for the position.
You will issue new patient paperwork via DocuSign, verify insurance eligibility, and ensure patient packets are completed/submitted to the surgical department. Additionally, you must be able to interact with patients effectively, and use critical thinking skills when faced with challenges. Having a strong presence on our phone lines is key for success.

Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Schedule clearances/labs/pre-assessments, accurately document all patient information as required, and provide our patients with timely/consistent updates
- Ability to learn and schedule patients within our daily clinics, including inter and intra-departmental communication intended to facilitate the smooth flow of patients
- Effectively communicate with patients the requirements needed to schedule their visits, and update them on their progress accordingly.
- You must be able to review and verify all paperwork is in order, and insurance eligibility for referrals received prior to scheduling.
- Working directly with team members to ensure open communication is always utilized within your department to achieve daily goals
- The employee must occasionally lift and/or move up to 15 pounds
- Other duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
- 3 years experience in a medical office enviornment
- Analytical and innovative thinking and the ability to solve problems quickly
- Ability to use discretion while working with sensitive information
- Excellent listening skills and the ability to follow directions and provide feedback
- Ability to accurately record and transmit detailed information
- Ability to work cooperatively as part of a team in a highly collaborative environment
- Ability to execute all terms and conditions set forth in the Employee Handbook
- Bilingual (English/Spanish) - Required
- Excellent inter-personnel and customer relationship skills
- Strong understanding of the insurance verification process
- Proven record of dependability, reliability, and punctuality (available references)
- Demonstrated expertise in triaging incoming calls and correspondence in a high-volume office
- Adaptable and flexible with superior organizational skills, meticulous attention to detail, and the ability to prioritize work and organize material for efficiency, completion of work in a timely manner under pressure of deadlines, and minimize duplication of effort
- Knowledge and proficiency of computer applications including Word, Outlook, PowerPoint, Excel, Adobe Acrobat, DocuSign, and Zoom
Physical Demands and Work Environment
While performing the duties of this position, the employee is regularly required to talk or hear. The employee frequently is required to use hands or fingers to handle or feel objects, tools, or controls, or to stand, walk, or sit. The employee is sometimes required to reach with hands and arms. The employee must occasionally lift and/or move up to 15 pounds, and push or pull an equipment cart of approximately 40 pounds. Specific vision abilities required by this position include close, intermediate, and distance vision (including frequent computer work), and the ability to adjust focus as necessary for various tasks.
