Short-Term Rental Portfolio Manager

1. Job Overview & Mission
The Short-Term Rental Manager is the operational heartbeat of Hosty Co. Your mission is to maximize property performance through seamless guest experiences, meticulous maintenance oversight, and rigorous financial reporting. You will serve as the primary liaison between property owners and frontline service providers. We seek a professional with an ownership mentality -someone who treats every property as their own investment and is driven by ROI and 5-star excellence.
2. Tech Stack & Core Competencies
Candidates must demonstrate expert-level proficiency in:
- PMS & OTA Management: Deep knowledge of AIRBNB and VRBO Platforms. Advanced use of Hostaway, IGMS, or similar Property Management Software.
- Smart Home Ecosystems: Remote management of Schlage/Yale locks, Nest/Ecobee thermostats, and noise monitoring systems (Minut/NoiseAware).
3. The Workflow (Cadence of Accountability)
Frequency
Primary Responsibilities
Daily
Monitor multi-platform calendars; respond to all inquiries within 30–60 mins; coordinate with cleaning crews for successful turnovers; resolve immediate maintenance or Resolution Center issues.
Weekly
Audit guest reviews (addressing any <5 stars immediately); manage supply inventory and restocking; resolve outstanding platform/billing disputes; perform maintenance audits; check all email inboxes.
Monthly
Financial Pulse: Reconcile all costs and submit utility/cost audits by the 1st; schedule preventative maintenance (HVAC/filters); audit "Health of the Home" cleaner reports.
Quarterly
P&L Presentation: Present financial performance and marketing strategy to leadership; conduct mandatory in-person property walkthroughs in Chicago.
4. Performance Expectations (The "Hosty Standard")
- Reputation Management: You are the guardian of our 5-star status. You are expected to analyze every review within 24 hours and proactively mitigate any issues for future guests.
- Emergency Responsiveness: As the "First Responder" for guest issues (lockouts, leaks, noise complaints), you must be available and decisive and always on-call.
- Fiscal Oversight: Protect owner ROI by tracking costs meticulously, managing utility waste, and preventing unnecessary maintenance fees.
- Resolution Center Mastery: Manage damage claims and guest disputes with a firm but fair hand—securing reimbursements while protecting our public reputation.
5. Success Metrics (KPIs)
Your performance is measured by data:
- Portfolio Rating: Maintain a 4.8-star average or higher.
- Response Time: Maintain a sub-60-minute average response time.
- Cost Control: Adherence to maintenance budgets and accuracy of financial reconciliations.
6. Communication & Meeting Cadence
- Bi-Weekly Team Sync: (Wednesdays, 11 am MT) Reviewing reviews, occupancy, and maintenance.
- Monthly Financial Review: (Asynchronous) Submission of reconciled data by the 5th.
- Quarterly Deep Dive: Formal P&L presentations and vendor performance reviews.
Requirements
- 2+ years of short term rental management or hospitality experience preferred.
- Deep knowledge of navigating Airbnb and VRBO platforms
- Exceptional communication and conflict-resolution skills.
- Ability to travel to Chicago properties for quarterly/emergency visits.
- A dedicated remote workspace with high-speed internet.
