Objective:
Under the direction of the Project Manager, tasks involve monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.
Duties and Responsibilities:
- Assist the Project Manager to administer, resolve and control all design, construction, contractual and financial issues on assigned projects.
- Developing in-depth understanding of project scope and particulars i.e., timeframes, financials, outcomes
- Interact with management and customers to ensure the flow of project information is efficient.
- Effectively communicates via phone, email, and correspondence.
- Maintains liaison with Resource Manager, Human Resources and Department Leads in support of personnel needs, changes, and updates.
- Handle day-to-day administrative work to include processing time entry of employees and workers assigned to specific projects by means of ADP and data entry.
- Manage the Microsoft Teams (Collaboration) documentation and PM Tool Filing Structure to ensure all information is regularly audited and that all project staff are following good documentation practices.
- Coordinate Meeting schedules, attendance and distribution of meeting minutes using our PM Tools.
- Obtain updates from project team members and prepare client weekly and monthly progress reports,
- Obtain and properly distribute all appropriate testing, certification, validation, “as-built”, spare parts, operating or maintenance manual documentation and drawings when required
- Administer the Photo Records Process during production and installation project phases.
- Provide qualification documentation for assigned project as applicable.
- Administer the Issues Resolution logs for Design, Production and Construction Phases of the project.
- Assist in coordination of all activities with building departments and inspectors for assigned projects.
- Audit shop and field daily reports to ensure they are completed.
- Support the Management team to track timesheets for all field installation labor on site.
- Establish and Maintain all Project Close Out Documentation Submittals during the life cycle of the project.
Qualifications / Experience / Skills and Attributes
Required:
- Minimum of 3 years’ experience in Business Administration, Construction Management or related.
- Exceptional communication, interpersonal and leadership skills.
- Advanced experience with office software, including MS Word, Excel, and Outlook
- Ability to work autonomously and under pressure, with a sense of urgency, to meet deadlines.
- A positive, proactive, and determined attitude
- Strong attention to detail in evaluating the completion of various tasks with ability to prioritize with good time management skills.
- Ability to manage sensitive and confidential information and to manage the risk aspects of contracts including the ability to protect the company’s contractual position with appropriately written correspondences.
- Capability to work and deal with people at various levels and of diverse cultures.
Preferred:
- Degree holder in business, construction, or related field of study
- Project support experience in one or more custom design/build industries including casinos, retail, theme parks, exhibitory and/or other immersive experience environments.
- Knowledge of the project life cycle.
- Experience with Project Management Systems Procore
- Bilingual in English/Spanish
Working Conditions / Physical Requirements:
While performing the duties of this job, the employee will be working in both office and construction site settings.
- Working Hours will be determined by project needs and will typically be 8-hour days, MON-FRI. Circumstances may occur which will require additional time or days within the work week and will be discussed with management team prior to need.

Pay: $50,000.00 - $60,000.00 per year
