We are seeking a detail-oriented and proactive Accounting Specialist to support the day-to-day accounting operations of the company. This role is responsible for processing invoices, maintaining accurate financial records, supporting vendor relationships, and ensuring timely payment disbursements. The ideal candidate will possess strong organizational skills, the ability to manage multiple priorities, and experience working in a fast-paced construction or project-based environment.
- Receive, verify, and code invoices for accurate entry into HH2 and Sage accounting systems.

Match vendor invoices with purchase orders and ensure expenses are coded to the correct job and cost category.

Manage vendor and subcontractor relationships by responding to payment inquiries and resolving billing discrepancies or disputes in a timely and professional manner.

Assist with check runs and payment processing to ensure all payment deadlines are met.

Closely monitor payment schedules to avoid late fees and maintain positive vendor relationships.

Reconcile vendor statements against HH2 and the general ledger to identify outstanding balances, discrepancies, or missing invoices.

Verify and collect lien waivers from subcontractors and vendors prior to payment release to protect the company from potential legal claims.

Track subcontractor and vendor insurance certificates and professional licenses to ensure all documentation remains current and compliant.

Maintain organized and accurate records of invoices, payments, lien waivers, insurance documentation, and vendor correspondence.

Provide backup support for Project Accountants, including payment disbursements and document control responsibilities during PTO or absences.

Assist with additional accounting and administrative duties as assigned.
- Associate’s degree in Accounting, Finance, Business Administration, or related field preferred.

2+ years of accounting, accounts payable, or construction accounting experience preferred.

Experience with Sage, HH2, or similar accounting software strongly preferred.

Knowledge of construction accounting practices, lien waivers, and subcontractor compliance documentation preferred.

Strong attention to detail and high level of accuracy.

Excellent organizational, communication, and time management skills.

Ability to prioritize tasks and meet deadlines in a fast-paced environment.
