Trust and Fiduciary Services Coordinator
MWM Legal Group, PLLC is a women-owned law firm specializing in estate planning, special needs trusts, fiduciary services, and guardianship. We are seeking a compassionate and highly-organized Trust and Fiduciary Services Coordinator to serve as the primary point of contact for our beneficiary community — including special needs individuals and their families, trust beneficiaries, elderly clients, care managers, healthcare providers, and financial institutions.
This is a relationship-centered role requiring both professional rigor and genuine empathy. You will be a trusted advocate and liaison, ensuring that our beneficiaries receive timely support and that all parties involved in their care are well-coordinated.
This role is ideal for someone with experience in social work, case management, trust administration, client services, or a related field who thrives on building meaningful relationships with vulnerable populations and their caregivers.
The Trust and Fiduciary Services Coordinator will provide daily communication and coordination between the trustees and beneficiaries, parents, bookkeeper, healthcare professionals, and financial institutions by telephone, email, and correspondence. The incumbent will accurately generate and scan documents, correspondence, and emails necessary for managing communication and information for beneficiaries and attorneys.
More specifically, you will
- Serve as the primary liaison between the attorneys and various clients, including trust beneficiaries, parents, guardians, conservators, and care managers.
- Coordinate with healthcare professionals and trustees to understand beneficiary needs and approve trust distributions for their care.
- Process and review distribution and purchase requests from beneficiaries and their representatives, ensuring compliance with trust terms.
- Communicate with financial institutions regarding account activity, disbursements, and recordkeeping.
- Maintain detailed, organized records on CLIO, our client management system, of all beneficiary interactions, requests, and case notes.
- Identify and escalate issues that require legal review or urgent attention.
- Participate in care planning meetings and represent the firm's interests with professionalism and sensitivity.
- Experience in trust administration, case management, social work, elder law, client services, or a closely related field.
- Demonstrated ability to communicate effectively and compassionately with individuals with disabilities, aging clients, and their families.
- Exceptional organizational skills and attention to detail; able to manage a large, active caseload.
- Professional written and verbal communication skills across diverse audiences.
- Discretion and sound judgment when handling sensitive personal and financial information.
- Familiarity with special needs trusts, government benefit programs (SSI, Medicaid), and guardianship is a strong plus.
- Experience with CLIO Manage a plus, but not required.
- Competitive salary commensurate with experience ($65,000-$75,000)
