About the Role
The Marine Parts & Inventory Manager is the primary coordinator for all parts operations, inventory management, and procurement at our dealership, with backup support to the service department when needed. This role is ideal for someone with strong vendor relationship skills, technical marine knowledge, and hands-on experience with dealership management software who wants to help shape parts operations from the ground up at a brand-new, state-of-the-art facility.
Key Responsibilities
Parts & Inventory Management
- Manage all parts ordering using IDS Marine Dealer Management software — creating purchase orders, tracking order status, and updating technicians and customers on availability
- Maintain optimal inventory levels, set seasonal reorder points, and conduct regular cycle counts
- Process parts receipts, verifying against purchase orders and updating inventory records
- Coordinate with vendors and manufacturers on timely delivery, negotiating expedited shipping when needed
- Manage special-order parts, linking them to specific work orders and customers
- Generate inventory reports for management, flagging slow-moving or obsolete stock
- Reconcile physical inventory against system records and resolve discrepancies
- Partner with accounting to ensure accurate parts pricing and costing
- Track parts warranty information and documentation for claims
- Train technicians on proper parts request procedures
- Follow deposit request and receipt policies for applicable orders
Service Advisor Support
- Provide backup support creating work orders and estimates for service requests
- Communicate with customers on parts status, timelines, and cost updates
- Help technicians identify and order correct parts for repairs
- Assist with warranty claim processing and documentation
- Help maintain detailed service records as needed
Additional Responsibilities
- Support the Service Manager in implementing department procedures and standards
- Ensure parts documentation meets industry compliance standards
- Optimize parts department workflow and resource allocation
- Stay current on manufacturer parts changes, supersessions, and updates
- Research and source hard-to-find parts for legacy marine systems
Requirements
- 2–3 years of experience in marine parts management or a related inventory control role
- Experience with dealer management software; IDS Marine Dealer Management Software experience strongly preferred
- Working knowledge of marine systems and terminology (electrical, mechanical, water systems)
- Strong initiative and organizational skills, with the ability to build reliable inventory processes
- Knowledge of marine parts supply chains and vendor relationships
- Excellent written and verbal communication skills
- Detail-oriented with strong multitasking abilities
- Warranty processing/documentation experience preferred
- Valid driver's license
- Availability for occasional evenings/weekends for time-sensitive projects
Pay: $45,000.00 - $65,000.00 per year
