The Role
We are seeking a polished, composed, and genuinely warm Front Desk Concierge to serve as the first and last impression of our club. This is not a traditional receptionist role — it is a hospitality-forward, client-facing position that requires exceptional discretion, professionalism, and a natural ability to make every member feel personally recognized and valued.
Key Responsibilities
- Welcome members and guests with a warm, unhurried, and professional presence — creating a five-star arrival experience every time
- Manage member scheduling across a range of appointments including consultations, wellness treatments, lab draws, and physician visits
- Handle all inbound calls and communications with poise, clarity, and timely follow-through
- Maintain accurate and confidential member records and appointment data within our practice management and EHR software (training provided)
- Coordinate closely with clinical and administrative staff to ensure seamless daily operations
- Anticipate member needs proactively — learn preferences, names, and histories to personalize every interaction
- Manage front desk logistics including check-in/check-out, co-pay collection, insurance verification where applicable, and end-of-day reconciliation
- Assist with onboarding new members and orienting them to club services and protocols
- Uphold strict confidentiality and HIPAA compliance at all times
- Support office operations as needed, including supply management, mail handling, and vendor coordination
What We're Looking For
- 2+ years of experience in a high-end hospitality, luxury service, private medical practice, or concierge-level client-facing role
- Exceptional interpersonal skills — warm, articulate, and naturally service-oriented
- Impeccable personal presentation and professional demeanor
- Strong organizational skills with the ability to manage multiple priorities gracefully under pressure
- Comfortable learning and navigating new software platforms; prior experience with EMR/EHR systems or scheduling tools is a plus
- Discretion and professionalism when working with high-profile clientele
- A genuine interest in wellness, longevity, or functional medicine is a strong asset
- Availability for full-time hours
