The City and County of Honolulu’s Department of Enterprise Services, Customer Services Division, is seeking an Event Production Coordinator to join the Productions team supporting events at the iconic Neal S. Blaisdell Center and Tom Moffatt Waikiki Shell.

What You’ll Do
The Event Production Coordinator helps manage events from the initial planning and advancement process through event completion, post-event debriefings, and preparations for future events.
Primary responsibilities include:
- Coordinating event details with promoters, clients, vendors, venue departments, and production personnel.
- Participating in event walkthroughs, planning meetings, conference calls, and pre-event briefings.
- Responding to customer inquiries and providing professional service by telephone, email, and in person.
- Preparing event documents, work orders, operational plans, seating layouts, and event-space diagrams.
- Communicating and enforcing Blaisdell Center and Waikiki Shell policies and procedures.
- Coordinating and supervising assigned event staff.
- Supporting admission control, security operations, guest services, crowd management, and safe event conditions.
- Addressing event concerns and communicating operational issues to management.
- Assisting with emergency procedures, including evacuations, when necessary.
- Coordinating with in-house concessionaires and other event service providers.
- Performing post-event evaluations and helping advance returning events.
The Event Production Coordinator may also assist with event operations in the absence of the Assistant Production Manager or Production Manager.
What We’re Looking For
The ideal candidate is dependable, professional, customer-focused, and able to remain calm in a fast-paced live-event environment. Strong communication, organization, decision-making, and problem-solving skills are essential.
Candidates should be comfortable using Microsoft Outlook, Word, Excel, and PowerPoint. Experience with event-planning, seating-layout, or diagramming software—such as Social Tables—is helpful, but training may be provided.
Previous experience in event planning, hospitality, entertainment, venue operations, customer service, production, security, or crowd management is preferred. Possession of a valid driver’s license is also preferred.
Schedule
Live events do not follow a traditional workweek. Applicants must be available to work a flexible, on-call schedule that may include days, evenings, late nights, weekends, and holidays.
