RB Properties Inc., a DC based hotel and commercial real estate management company, has an excellent opportunity for a qualified Personal Assistant working between our in our Corporate Office in Georgetown and the Principal's home. The Personal Assistant provides comprehensive personal and household management support to the Principal. This role combines oversight of personal affairs and household operations with basic office administration. The Personal Assistant serves as a trusted partner by managing schedules, coordinating travel, overseeing residences and vendors, handling confidential information, and ensuring the Principal's personal and professional obligations are executed efficiently and seamlessly.
Essential Duties and Responsibilities
Personal Administration
- Manage the Principal's personal calendar, appointments, and daily schedule.
- Coordinate personal travel, including transportation, accommodations, itineraries, and reservations.
- Screen and prioritize phone calls, emails, and correspondence.
- Prepare and organize documents, records, and confidential information.
- Track important dates, deadlines, birthdays, anniversaries, and recurring obligations.
- Handle personal errands and special requests.
- Assist with personal shopping, gift purchasing, and event planning.
- Maintain confidentiality regarding all personal and financial matters.
Household Management
- Oversee the day-to-day operations of one residence.
- Coordinate and supervise household employees, vendors, contractors, and service providers.
- Work with and coordinate with boat staff and adult dependent’s caretakers to ensure all needs are met.
- Schedule maintenance, repairs, inspections, and seasonal services.
- Manage household inventories and ensure supplies are adequately stocked.
- Coordinate deliveries and oversee household projects.
- Assist with home organization and space management.
- Ensure residences are maintained to the Principal's standards.
Financial Administration
- Track personal expenses and maintain organized financial records.
- Process invoices and submit bills for payment.
- Reconcile receipts and maintain expense reports.
- Process checks using Quicken.
Vendor & Service Management
- Source, evaluate, and coordinate vendors for household and personal services.
- Monitor vendor performance and ensure quality service.
- Maintain relationships with trusted service providers.
Event & Lifestyle Coordination
- Make reservations for dining, entertainment, and recreational activities.
- Coordinate guest accommodations and hospitality arrangements.
Special Projects
- Manage special assignments as directed by the Principal.
- Research products, services, travel destinations, and other topics.
- Coordinate projects involving multiple vendors or service providers.
- Identify opportunities to improve household efficiency and organization.
Office Support Responsibilities
- Manage the Principal's business calendar by coordinating meetings, conference calls, and appointments.
- Screen and prioritize business correspondence, including emails, phone calls, and mail.
- Coordinate communication between the Principal and business associates, advisors, and key contacts.
- Maintain electronic and physical filing systems for business-related documents.
- Track action items and follow up on deadlines, commitments, and pending matters.
- Support the Principal with light project coordination and administrative tasks as assigned.
- Keep inventory and place orders for office supplies.
- Work with vendor to ensure office cleanliness meets company standards.
- Organize office events, meetings and other gatherings as required.
- Occasionally fill in at the reception desk when necessary.
- Maintain the highest level of confidentiality regarding all business, financial, and personal matters.
Qualifications
- Minimum of 3 years of experience as a Personal Assistant, Executive Assistant, Household Manager, or similar role.
- Experience managing private residences or supporting high-level executives preferred.
- Valid driver's license with a clean driving record.
- Ability to work a flexible schedule, including occasional evenings or weekends as needed.
