Success Story with Scott D. Clary is a top-ranked business and entrepreneurship podcast with a 300K+ subscriber newsletter and a fast-growing short-form video operation. We record in person in Miami with founders, investors, and operators, and we shoot street interviews around the city.
About the role
We are looking for a sharp, extremely organized part-time Executive Assistant to keep the day-to-day running. This is a hands-on role with a lot of moving parts and a lot of autonomy. You will be the person who makes sure nothing falls through the cracks.
What you'll do
- Manage a busy calendar: schedule guest recordings, coordinate across PR reps and guest teams, handle reschedules and confirmations
- Own inbox triage: flag what matters, draft replies, follow up on threads that go quiet
- Coordinate studio bookings, shoot logistics, and travel for Miami and NYC recording days
- Keep guest pipelines and trackers current in Google Sheets and Notion
- Handle vendor and contractor communication (editors, videographers, studio)
- Prep briefing docs and run-of-show notes ahead of recordings
- General admin: expenses, invoices, file organization, and ad-hoc projects
What we're looking for
- 1+ years as an executive assistant, admin, coordinator, or producer. Media or podcast experience is a plus, not a requirement
- Excellent written communication. You can draft an email that sounds professional without being stiff
- Fluent with Google Workspace (Calendar, Gmail, Sheets, Drive) and comfortable picking up new tools quickly
- Genuinely organized. You track things in writing, not in your head
- Proactive. You spot the problem and bring a solution, not just a heads-up
- Based in Miami and able to work in person
- Reliable weekday availability, 15 to 20 hours per week
Nice to have
- Experience coordinating with PR agencies or booking guests
- Familiarity with Notion, Airtable, or podcast production workflows
- Interest in business, startups, or media
Why this role
You will work directly with the host, see how a media business actually operates, and have real ownership over how things get done. There is room to grow into more hours or a broader production role for the right person.
