Position: Patient Care Coordinator: Customer Service and Sales
Who We Are Looking For:
Purple Mountain Physical Therapy is hiring a full-time Patient Care Coordinator. This role is for an experienced Administrative professional, not an entry level position. Best candidates have proven experience in sales, customer service, and strong administrative skills. We are seeking someone who enjoys mastering technology, building meaningful relationships with patients, solving problems independently, and becoming a valued member of our team for years to come. You will be executing our front desk duties and Administrative work, including sales to lead potential clients to their decision to work with our PTs, scheduling patients, handling phone calls of prospective patients inquiring about pelvic health, spine and TMJ conditions, welcoming our patients, maintaining spreadsheets and various data keeping, clerical duties and office upkeep tasks. We are the Community Votes Best PT Clinic in Grand Rapids, providing specialty pelvic health, spine and TMJ physical therapy care. We are out of network with insurance. Ideal candidates must have:
- Minimum two years, full-time, professional, administrative experience with one employer
- Strong interpersonal communication skills and ability to listen, create relationships and support the clinic's mission
- Proven sales and customer service experience
- Ability to multi-task, keep organized and prioritize needs while efficiently completing job duties
- Advanced Microsoft 365 & computer proficiency, particularly Excel and scheduling skills
- Attention to detail, including accurate scheduling & managing phone calls in a busy clinic
- Adaptability to meet emerging needs of the clinic
- Outstanding written and verbal communication
- Dependability, reliability and promptness for this five days a week, in-person, full-time position. Reliable transportation

Candidates must be comfortable with sales and helping prospective people who call our office make the decision to work with our physical therapists. The Ideal Candidate demonstrates experience and abilities to accomplish various office related responsibilities including:
- Proficient computer skills for efficient and accurate workflow,
- Communicating, over phone and in person, with patients, potential patients & other medical professionals,
- Executing & maintaining existing front desk administrative systems that maintain organization and accomplish tasks, including using Outlook, Microsoft Teams, Excel, Word, Canva and our EMR scheduling system,
- Accurately and efficiently scheduling patients,
- Maintaining a welcoming & tidy reception area and office,
- Managing inventory ordering, laundry of linens and office tidying and upkeep,
- Creating & writing using Word, Canva or other applications for IG, FB, website and other purposes,
- Sales: Phone relationship building to inform potential clients about our specialty treatment and help them to feel assured in their decision to choose to work with our PTs. You will need to be an active listener and effective communicator to help lead potential clients to informed decision making towards the best decision for their health,
- Ability to multi-task, prioritize tasks, stay focused and accomplish tasks, accurately, in an efficient manner,
- You're dependable and reliable and enjoy being part of a productive team. You are someone we can rely upon.
- Flexibility and Adaptability to identify and respond to emerging needs and to generate solutions.
Technology
This position requires advanced computer proficiency.
You should be comfortable quickly learning new software and using technology throughout your workday.
