WHY WE DO IT:
The Receptionist/Administrative Assistant provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional duties as assigned.
MINIMUM REQUIREMENTS:
Education: High School diploma or equivalent.
Experience: One year of receptionist/administrative experience.
Software: Bluebeam and Microsoft Office Suite Products (Outlook, Word, Excel, PowerPoint, Project, etc.).
ESSENTIAL FUNCTIONS:

- Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate's voice mailbox when the associate is unavailable.
- Greets and directs visitors to the company, offers & provides water, or coffee to guests as appropriate.
- Takes and retrieves messages for various personnel.
- Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
- Receives, sorts and forwards incoming mail and faxes.
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.) logs in packages (UPS, FedEx, etc.) and distributes to appropriate person/department.
- Assists with other related clerical duties such as photocopying, faxing, filing and collating.
- Coordinates with leadership on "lunch and learns" scheduling as requested.
- Collates packages for various departments including Human Resources when requested.
- Types reports, memos, letters, and other documents using relevant computer software.
- Prepares agendas and takes minutes of meetings, as necessary.
- Works independently on projects, from conception to completion, works under pressure at times to handle a wide variety of activities and confidential matters with discretion.
- Drafts and processes proposals, contracts and agreements following Ruhnau Clarke protocol.
- Creates and updates spreadsheets for various projects as necessary.
- Orders lunches for meetings, as necessary.
- Assists with general administrative functions and performs other duties as assigned.
- Posting of AFO's and Addendums for Construction Department.
- Performs other duties as required.

WORK ENVIRONMENT:
- The job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
PHYSICAL REQUIREMENTS:
The ideal candidate must be able to complete all the physical requirements of the job with or without reasonable accommodation:

Pay: $25.00 - $26.00 per hour
