Receptionist/Secretary
QUALIFICATIONS:
(1) High School Diploma or GED equivalent
(2) Post-secondary training preferred
(3) Work experience preferred
KNOWLEDGE, SKILLS AND ABILITIES:
Ability to deal with the public in different situations in a pleasant, courteous, and helpful manner. Effective and efficient with Microsoft Office Programs. Ability to communicate via E-mail efficiently and effectively. Demonstrate ability to type at least 40 words per minute. Ability to utilize good telephone skills. Ability to organize and maintain accurate records. Ability to establish and maintain effective working relationships with others. Ability to use excellent business English, grammar, spelling, and punctuation. Ability to lift and move small packages that are received. Physical and emotional ability and dexterity to perform required work needed in a fast-paced, high intensive work environment.

PERFORMANCE RESPONSIBILITIES:
*(1) Meet and deal effectively with the general public, staff members, students, parents, administrators, and other contact persons using tact and good judgment.
*(2) Exhibit interpersonal skills to work as an effective team member.
*(3) Represent the system in a positive and professional manner.
*(4) Receive incoming telephone calls and transfers to the proper person, answer routine non-technical questions and refer other questions to proper department.
*(5) Take messages for personnel who are away from their desks.
*(6) Maintain confidentiality of sensitive information.
*(7) Maintain and distribute bus transportation forms.
*(8) Maintain and distribute field trip request forms.
*(9) Maintain and distribute fund raiser request forms.
*(10) Take leave time in accordance with Board policy and reports all absences.
*(11) Responsible for maintaining postage and office supplies.
*(12) Inventory and maintain clerical cabinet including ordering office supplies.
*(13) Maintain and distribute district monthly calendars.
*(14) Maintain the car checkout book.
*(15) Maintain and distribute the vacation list.
*(16) Maintain concession for central office.
*(17) Responsible for school record information.
*(18) Responsible for distribution of incoming mail and faxes to the proper persons.
*(19) Call in maintenance as needed for office machines.
*(20) Responsible for receiving and distributing incoming packages.
*(21) Type and perform various clerical functions for superintendent and superintendent’s designee.
*(22) Demonstrate initiative in the performance of assigned responsibilities.
*(23) Keep superintendent and others administrators informed of potential problems or unusual events.
*(24) Participate successfully in the training programs offered to increase skill and proficiency related to assignment.
*(25) Post/record and file correspondence and reports.
*(26) React quickly and calmly in an emergency situation on the telephone at the front desk.
*(27) Maintain confidentiality regarding school/workplace matters.
(28) Perform other duties as directed by supervisor.
