Compensation: $45,000 to $60,000 annually

THE ROLE
We're seeking an experienced, organized Administrative Assistant & Client Advocate to be the welcoming first point of contact for our clients and the organizational backbone of our office. This is an ideal role for someone with strong administrative instincts and some client-facing experience who wants to grow within a purpose-driven financial firm.
KEY RESPONSIBILITIES
- The Director of First Impressions: greet clients and serve as a friendly, professional first point of contact by phone, email, and in-person
- Schedule appointments and manage calendars for the planning team
- Maintain accurate client accounts and files in firm systems
- Prepare, organize, and process planning materials and client correspondence
- Support the team with data entry, document preparation, and follow-up tasks
- Help coordinate client meetings, events, and office logistics
- Champion client advocacy by managing daily communication and scheduled campaigns
QUALIFICATIONS
- 3+ years of relevant administrative experience; some client or customer
- facing experience preferred
- Excellent organization, attention to detail, and follow-through
- Warm, professional communication skills- Proficiency with Microsoft Office and comfort learning new systems
- A self-starter, team-first attitude and genuine care for people
YOUR FIRST 90 DAYS
- Days 1 to 30: Learn our systems, processes, and team; shadow client interactions and master front-office workflows
- Days 30 to 60: Independently manage scheduling, client correspondence, and recordkeeping with growing confidence
- Days 60 to 90: Serve as a trusted client advocate and a dependable organizational anchor for the team
