Office Manager Job Description
Supervisor: Senior Minister
Effective Date: September 2026
Status: Full time, salaried
Compensation: $44,800
Job Summary: The office manager performs various office functions so that the church is well-run and so other staff members can thrive in their roles. This includes managing publications, basic financial reporting, data entry, mail and communications, building management, and more.
Essential Functions
General
- Welcome and assist newcomers, participants, and community members who come seeking information, resources, or connection
- Participate in regular staff meetings, and, with other church leaders and staff, help to plan and envision the future of the church and its administrative needs
- Participate in collegial and professional organizations, including the Association of Unitarian Universalist Administrators
- Other duties as assigned
Office Management
- Answer and direct telephone calls, emails, postal mail, and walk-in visitors
- Enter data about members, visitors, and financial information
- Manage the materials necessary to run the church office, including supplies and equipment
- Create reports and records as directed by other staff and church leaders
Finance
- Liaison with the bookkeeper, and troubleshoot financial reporting issues
- Enter bills, congregant pledges and other financial paperwork into the correct systems for processing and record-keeping
Building and Grounds
- Ensure that the facility is inviting and attractive to all who come. Work with the Building and Grounds committee to ensure the smooth operation of the facilities.
- Manage contacts with outside vendors (cleaning service, copier maintenance, snow removal, etc.)
- Manage the congregation’s relationship with rentals, including contracts, usage, and training for access and clean-up
Communications/Event Scheduling
- Schedule the use of the building by church groups
- Produce and distribute printed and electronic materials - orders of service, newsletters, handouts, financial statements, and more
- Create and send communications through online marketing/communications software
- Update the website
- Maintain the website calendar (external) and internal calendar (Breeze)
Desired Qualifications
- A High School diploma or GED
- Experience with office management
- Strong verbal and written communication skills
- Proficiency with the following types of software and applications:
- Google Drive/Google Suite
- QuickBooks
- email hosting (Microsoft 365)
- video conferencing (such as Zoom)
- database management (such as Breeze)
- communications/marketing (such as MailChimp)
- web development (such as WordPress)
- social media (such as Facebook and Instagram)
- Strong interpersonal skills
- Supportive of Unitarian Universalist values and social justice issues
- Must be able to work with persons of all races, ages, economic levels, gender identities and sexual orientations
Physical Requirements
- Ability to operate copy and binding equipment and type for sustained periods.
- Ability to lift 50 pounds
- Fully vaccinated for COVID 19 and able to wear a mask
