Citadel Security USA is seeking a highly organized Administrative Assistant to provide day-to-day administrative support for our operations team at our Grand Junction, Colorado office. This full-time position supports the Vice President of Operations, Director of Human Resources, and additional leadership staff by helping coordinate office activities, maintain business records, assist with onboarding, and support company projects.

Primary Responsibilities
Administrative & Executive Support
- Provide administrative assistance to the Vice President of Operations, Director of Human Resources, and assigned leadership staff.
- Manage a variety of administrative assignments while maintaining accuracy and meeting deadlines.
- Draft, edit, format, and proofread business correspondence, reports, spreadsheets, presentations, and other documents.
- Prepare routine reports, forms, and company records using Microsoft Office applications.
- Assist leadership with special projects and administrative initiatives.
Office Administration
- Answer incoming telephone calls professionally and route inquiries to the appropriate department.
- Welcome visitors, applicants, vendors, and clients while providing exceptional customer service.
- Receive, sort, and distribute incoming mail, deliveries, and packages.
- Maintain organized electronic and paper filing systems for efficient document retrieval.
- Perform routine office duties including filing, scanning, copying, mailing, and document management.
- Monitor office supply inventory and coordinates purchasing through approved vendors.
- Arrange maintenance or service requests for office equipment as needed.
Onboarding & Training Support
- Assist with new employee onboarding by preparing employment documentation and orientation materials.
- Coordinate onboarding schedules and maintain required employment records.
- Support company training programs by scheduling sessions, maintaining attendance records, and preparing training materials.
- Ensure administrative records remain complete, organized, and up to date.
Project Coordination
- Assist managers with scheduling, reporting, project tracking, and administrative follow-up.
- Coordinate information between departments to support efficient communication and workflow.
- Track requests for records, reports, and business documentation.
- Help improve administrative processes and support implementation of new office procedures.
Professional Communication
- Maintain confidentiality when handling employee, operational, and company information.
- Communicate professionally with employees, applicants, clients, vendors, and business partners.
- Maintain a courteous, service-oriented approach during all interactions.
- Represent Citadel Security USA with professionalism and integrity.
Minimum Qualifications
- High school diploma or GED required.
- Previous experience in administrative, office support, receptionist, or clerical role preferred.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication abilities.
- Ability to prioritize multiple assignments while meeting deadlines.
- Proficiency with Microsoft Word, Excel, Outlook, and other Microsoft Office applications.
- Ability to work independently with minimal supervision.
- Strong problem-solving skills and sound professional judgment.
- Ability to maintain confidentiality regarding sensitive company information.
Preferred Qualifications
- Experience supporting multiple managers or executive leadership.
- Previous experience coordinating onboarding, employee records, or training activities.
- Familiarity with document management systems and electronic filing practices.
- Experience preparing reports, spreadsheets, and business correspondence.
- Background supporting operations, human resources, or business administration functions.
Physical Requirements
- Primarily office-based position in a professional business environment.
- Ability to remain seated while performing computer-based work for extended periods.
- Frequent use of computers, telephones, printers, scanners, copiers, and other office equipment.
- Ability to move throughout the office to retrieve files, supplies, and equipment.
- Occasional lifting or carrying of office materials weighing up to 25 pounds.
- Ability to communicate clearly in person, by telephone, and through electronic communication.
