General Summary:
The Diagnostic Imaging (DI) Procedure Coordinator has a multifaceted role involving preprocedural data collection for the purpose of assigning procedures with the correct DI clinician to ensure the safest possible procedural experience. This position is responsible for researching and reconciling required missing patient information, including all diagnostic reports, history & physicals, consultations, and medical clearance if needed. To ensure the timely receipt of patient information from physician offices and outside facilities within 48 – 72 hours before the intended date of service. This will allow patients to be scheduled appropriately and ensure that all necessary equipment, parties, and proceduralists are aware and scheduled for each procedure.
Responsibilities:
1. Manages electronic worklist/queues to ensure that all interventional non- invasive and invasive procedures have all the necessary paperwork and documentation to stay at the assigned scheduled procedure date and time. Maintains an electronic file of scheduling requirements for Invasive and non-invasive procedures.
2. Reviews scheduled patients' charts to ensure that all necessary documentation is reviewed and verification for each patient with date of birth, intended procedure date, history and physical, orders, required diagnostic testing results (imaging and labs), and if medical clearances are necessary, scheduled ordered testing with Cardiology and Pulmonary. Collaborates and communicates with the DI modalities team members and RN’s, DI managers, and PAT/Day Surgery. If a case requires Anesthesia, coordinate this with the OR Schedulers. Promptly reports discrepancies that would impede the successful scheduling of an interventional procedure.
3. Transcribes scheduling information utilizing basic knowledge of anatomy and physiology, medical terminology, and uses accepted abbreviations, according to HIPAA and Bayhealth policies. Verifies and coordinates all scheduling information with DI personnel within an acceptable time frame to ensure accurate scheduling. Schedules patient for any required imaging, post-consult visits, and/or Infusion appointments for patients that require hydration before their CT scan.
4. Coordinates scheduling of patients’ DI procedures with vendors, Anesthesia, and purchasing to set up delivery of gases for Cryo-ablation procedures and follow up on diagnostic procedure orders for patients for whom the radiologist consults. Works with the OR to coordinate CT exams that are required to be performed within 7 days of a scheduled ION Lung biopsy case.
5. Perform systems audits for all patient-related data to ensure the integrity of data. Ensure 99% of all Interventional cases are appropriately scheduled. Morning safety huddles provide 48–72-hour compliance report information to modality supervisors and managers. This will ensure that all scheduled cases are prepared and ready for the date of the expected case.
6. Keeps a repository of patient information that is scheduled for consultation, organized by Radiologist and date of service. Collaborate with Diagnostic Imaging billing specialists to supply information as requested for medically necessary clearance information.
7. Obtains and maintains proficiency in the use of the electronic medical record system for scheduling and chart review. Completes ongoing training of the order entry program, and utilizes the computer terminal for order entry/retrieval with accuracy.
8. Demonstrates accountability for personal and professional growth. All Employee health requirements are met on time. Attends departmental staff meetings and pertinent in-services offered within the Bayhealth system. Embraces changes to the work schedule and assignments/tasks when necessary.
9. Prepares reports and information as requested to modality supervisors, DI RN’s, and Clinicians for upcoming procedures.
10. Maintains and follows all established Bayhealth departmental policies and procedures, standards of care, performance improvement plan, safety guidelines, and infection control standards, including adherence to JC and HIPAA regulations, personnel policies, and procedures.
11. All other duties as assigned within the scope and range of job responsibilities.
