We are seeking a proactive, organized, and detail-oriented Property Management & Leasing Assistant to join our growing team. In this role, you will support the daily operations of property management, leasing activities, and resident relations, ensuring effective communication between tenants, property owners, and vendors.
The ideal candidate will be customer-service focused, highly organized, and capable of managing multiple responsibilities in a fast-paced environment. Responsibilities:
- Greet residents, prospective tenants, and property guests in a professional and welcoming manner.
- Answer incoming calls, direct inquiries to appropriate staff members, and follow up on resident concerns to ensure exceptional customer service.
- Respond to prospective tenant inquiries and guest cards in a timely manner.
- Schedule and coordinate apartment showings for available units.
- Show vacant apartments and assist with the leasing process.
- Support resident retention efforts by providing excellent service and coordinating with management to address resident needs.
- Assist with lease administration and resident communications.
Administrative Duties
- Prepare, scan, file, and organize resident and property management documents.
- Assist with mailings, notices, and property correspondence.
- Maintain accurate records and ensure all files are properly organized.
- Follow up on assigned tasks and confirm completion.
- Perform general office and clerical duties as assigned.
- Maintain the confidentiality of resident and company information.
Qualifications & Skills
- Previous experience in property management, leasing, or a related field preferred.
- Strong written and verbal communication skills.
- Excellent customer service and interpersonal skills.
- Ability to work effectively in a team environment.
- Strong organizational and time-management abilities.
- Attention to detail and accuracy.
- Ability to multitask and prioritize responsibilities in a fast-paced office.
- Proficiency in Microsoft Word and Excel.
- Experience with AppFolio property management software preferred.
- Fluent in English and Spanish preferred.
