As our firm continues to grow, we’re looking for a Director of Operations who is excited to build systems, improve client experiences, embrace technology, and help create an organization that operates at the highest level.
This is not a traditional operations role.
You’ll work directly with the Managing Partner to help lead day-to-day operations, improve efficiency, support our clients, create sustainable processes, and ensure our firm continues to scale successfully.

Your Mission
Your mission is simple:
Create operational excellence that allows MMAS CPA to scale while delivering an exceptional experience for both our clients and our team.
Success in this role means our clients feel cared for, our team stays organized, our systems continue to improve, and our Managing Partner has more time to focus on leadership, client relationships, business development, and growth.
Key Responsibilities
No two days are exactly alike.
One day you may be coordinating a physician practice onboarding.
The next you may be improving an internal workflow with AI, organizing executive priorities, preparing for a speaking engagement, improving a client process, or solving an operational challenge before anyone else notices it.

Executive Operations
- Manage the Managing Partner’s calendar, meetings, priorities, and travel.
- Organize and prioritize executive email communications.
- Coordinate speaking engagements, client meetings, and events.
- Prepare agendas, meeting notes, and follow-up action items.
- Protect executive focus time by proactively managing competing priorities.
- Handle special projects and occasional business-related errands as needed.
Client Experience
- Lead the client onboarding process from engagement through implementation.
- Serve as a primary point of contact during onboarding and operational coordination.
- Ensure client requests are communicated internally and completed on time.
- Proactively identify issues and resolve them before they impact the client experience.
- Build strong relationships through consistent communication and follow-through.
- Help create a best-in-class client experience that reflects the MMAS CPA brand.
Operations & Project Management
- Create, document, and continuously improve standard operating procedures.
- Coordinate internal projects and firm initiatives.
- Monitor project timelines and hold team members accountable for deadlines.
- Facilitate internal meetings and track action items.
- Develop operational dashboards, project trackers, and workflow reports using Microsoft Excel.
- Identify opportunities to improve efficiency and eliminate unnecessary work.
Technology & Innovation
- Research and implement AI tools that improve productivity.
- Evaluate new technology solutions to enhance operations.
- Help automate repetitive administrative and operational tasks.
- Support technology implementation and team adoption.
- Continuously seek better, faster, and smarter ways to operate.
Office Operations
- Maintain a professional, organized office environment.
- Coordinate vendors, office supplies, and daily operational needs.
- Support firm events, client meetings, and presentations.
- Assist wherever needed to keep the business moving forward.
Qualifications
Required
- Advanced organizational and time management skills.
- Strong proficiency in Microsoft Excel, including creating and maintaining spreadsheets, building trackers, using formulas, organizing data, and supporting operational reporting.
- Proficiency in Microsoft Outlook, Word, PowerPoint, and Teams.
- Excellent written and verbal communication skills.
- Exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving and critical-thinking skills.
- Self-motivated with a proactive, ownership mindset.
- Comfortable learning new technology and business software.
- Interest in AI and technology as tools to improve efficiency.
- Valid driver’s license and reliable transportation.
Preferred
- Experience in operations, executive support, project management, client success, or business administration.
- Experience working in a professional services, healthcare, consulting, or accounting environment.
- Experience creating and improving operational processes.
- Familiarity with CRM systems and project management software.
- Experience using AI tools such as ChatGPT, Microsoft Copilot, or similar technologies.
What We’re Looking For
The ideal candidate:
Pay: $60,000.00 - $75,000.00 per year
