Administrative Assistant
Transition Staffing Group is partnering with a well-established construction company in San Diego who is seeking a dependable and highly organized Administrative Assistant to support its office and project teams. This position is ideal for someone who enjoys managing multiple priorities, communicating with different stakeholders, and helping keep construction projects and daily office operations on track.
Responsibilities
- Provide administrative support to project managers, field teams, and office leadership
- Answer and direct phone calls, emails, and general inquiries
- Coordinate meetings, calendars, and project-related schedules
- Prepare, format, and distribute reports, correspondence, and project documents
- Maintain organized electronic and paper filing systems
- Assist with contracts, change orders, purchase orders, submittals, and other construction documentation
- Track insurance certificates, permits, lien releases, and vendor records
- Enter and maintain accurate information in internal systems and spreadsheets
- Support invoice processing, expense reporting, and basic billing administration
- Communicate with subcontractors, vendors, clients, and internal team members
- Order office and project supplies
- Assist with employee onboarding and other administrative projects as needed
Qualifications
- Two or more years of administrative support experience
- Previous construction, engineering, architecture, or project-based industry experience is preferred
- Proficiency in Microsoft Office, particularly Outlook, Word, and Excel
- Experience with construction or project-management software is a plus
- Strong written and verbal communication skills
- Excellent attention to detail and organizational ability
- Comfortable managing deadlines and shifting priorities
- Ability to handle confidential information professionally
- Dependable, proactive, and comfortable working independently
- High school diploma or equivalent required; college coursework or degree is a plus

Pay: $25.00 - $28.00 per hour
