About mak-warép Ohlone Land Conservancy
mak-warép Ohlone Land Conservancy is a Native-led nonprofit organization dedicated to Ohlone land return, cultural revitalization, ecological stewardship, education, and community partnerships throughout the San Francisco Bay Area. Founded by Ohlone leaders Vincent Medina and Louis Trevino, mak-warép works to restore Indigenous relationships to land through cultural gardens, habitat restoration, cultural fire, educational programming, and land conservation initiatives.
Position Summary
The Development & Programs Assistant provides essential fundraising, administrative, communications, and event coordination support to help advance mak-warép's mission and programs. This position is ideal for a highly organized, detail-oriented professional who enjoys bringing people together, managing information systems, supporting donor relationships, coordinating meetings and events, and helping a growing organization operate effectively.
Working closely with the Development & Special Projects Director and organizational leadership, this position will support fundraising operations, donor stewardship, communications, community engagement activities, and partner coordination across a wide range of projects.
Key ResponsibilitiesDonor Stewardship & Fundraising Support
- Process donations and maintain accurate donor records.
- Prepare and send donor acknowledgments and thank-you letters.
- Support donor cultivation and stewardship activities.
- Assist with fundraising campaigns, appeals, and special projects.
- Track donor interactions and maintain donor engagement records.
- Generate reports, mailing lists, and donor updates as needed.
- Support grant administration and reporting activities.
- Support year-end fundraising campaigns by coordinating donor communications, gift processing, database management, reporting, campaign logistics, and online fundraising systems.
Database & Systems Management
- Maintain and update donor information in Salesforce.
- Assist with gift entry, campaign tracking, reporting, and data cleanup.
- Support data imports, exports, and database maintenance.
- Help maintain accurate records across fundraising and communications platforms.
- Monitor and assist with online donation systems and donor inquiries.
Communications Support
- Assist with email campaigns and newsletters using Mailchimp.
- Support content updates and donation pages through Squarespace.
- Coordinate communications with donors, partners, volunteers, and community members.
- Assist with outreach materials, event communications, and program announcements.
Event & Partner Coordination
- Coordinate logistics for meetings, workshops, donor events, educational programs, stewardship activities, and community gatherings.
- Schedule and manage Zoom meetings and virtual events involving partners, funders, agency representatives, universities, tribal organizations, volunteers, and community stakeholders.
- Prepare agendas, meeting materials, attendance lists, and follow-up communications.
- Support coordination of cultural fire planning meetings, restoration project meetings, stewardship workshops, and partnership convenings.
- Manage registrations, RSVPs, reminders, and event follow-up.
- Help create welcoming, organized, and productive experiences for participants and partners.
Administrative Support
- Coordinate scheduling and meeting logistics.
- Maintain organized digital files and records.
- Track project deadlines and administrative tasks.
- Assist with special projects and organizational operations as assigned.
- Support a collaborative and mission-driven team environment.
QualificationsRequired
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Proficiency with Google Workspace (Docs, Sheets, Drive, Gmail).
- Experience with Salesforce or other CRM/database systems.
- Experience with Mailchimp or similar email marketing platforms.
- Experience with Squarespace and/or Stripe.
- Ability to work independently while collaborating with a small team.
- Strong interpersonal skills and a professional, welcoming demeanor.
- Commitment to equity, cultural respect, and Indigenous-led conservation.
Preferred
- Experience coordinating meetings, events, or community programs.
- Experience in nonprofit fundraising, development, donor relations, or administration.
- Familiarity with donor stewardship and fundraising best practices.
- Experience supporting virtual meetings using Zoom or similar platforms.
