Position Overview
The Service Coordinator is responsible for receiving customer service requests, scheduling and dispatching technicians, maintaining work orders, preparing invoices, tracking job costs and technician efficiency, processing department payables, and ensuring accurate financial and operational records are maintained. This role is critical to customer satisfaction, technician productivity, and overall department profitability.
Customer Service & Communication
· Serve as the primary point of contact for customers requesting service.
· Receive and document incoming service calls.
· Communicate with customers regarding scheduling, job status, and completion updates.
· Act as a liaison between customers and service technicians.
· Follow up with customers to ensure satisfaction and completion of work.
Scheduling & Dispatch
· Maintain the department service call list.
· Schedule service appointments and prioritize work based on customer needs and technician availability.
· Dispatch service technicians in a timely and efficient manner.
· Coordinate technician schedules, routes, and workloads.
· Monitor open service calls and ensure timely completion of work.
Work Order Management
· Create and maintain service work orders.
· Ensure accurate documentation of labor, travel time, parts, materials, and technician notes.
· Review completed work orders for accuracy and completeness.
· Maintain service records and customer history.
Invoicing, Job Costing & Financial Management
· Prepare and process customer invoices for labor, mileage, parts, materials, and subcontracted services.
· Ensure invoices are completed accurately and submitted promptly.
· Track labor, materials, subcontractors, and other costs associated with service work.
· Maintain accurate job costing information.
· Review completed jobs to ensure margins and profitability are accurately reported.
· Prepare technician productivity and efficiency reports.
· Monitor billable hours, labor utilization, and department performance metrics.
Accounts Payable & Administrative Support
· Process department vendor invoices and payables.
· Verify vendor charges against jobs and work orders.
· Assist with payment processing and vendor communication.
· Maintain organized department records and documentation.
· Support accounting and management with reporting and administrative tasks.
Knowledge, Skills & Abilities
· Strong organizational and multitasking skills.

· Strong attention to detail and accuracy.
· Proficiency with accounting, dispatching, and service management software.
· Understanding of job costing, invoicing, accounts receivable, and accounts payable processes.

Core Purpose
Keep the service department organized, profitable, and responsive by ensuring every service call moves efficiently from customer request to completed invoice.
Pay: $50,000.00 - $60,000.00 per year
