Responsibilities
- Greet visitors warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette
- Handle incoming calls, direct inquiries efficiently, and take detailed messages as needed
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including copying, scanning, faxing, and managing office supplies
- Provide customer support by addressing inquiries in person or via phone/email with a friendly and helpful attitude
- Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and presentations
- Ensure proper documentation through filing systems while maintaining confidentiality and data security
- Support administrative tasks related to medical or dental reception duties if applicable, including patient check-ins and appointment coordination
Experience
- Previous office experience or clerical experience demonstrating organizational skills and attention to detail
- Proven ability to manage multi-line phone systems with professionalism and courtesy
- Familiarity with office management software such as QuickBooks, Microsoft Office (Word, Excel), and Google Workspace
- Familiarity with EMR like EClinicalWorks is plus but not recommended.
- Should be Bilingual to serve diverse client needs effectively
- Experience in customer service roles that require excellent communication skills and patience
- Knowledge of calendar management, data entry, filing procedures, and proofreading techniques
- Personal assistant or receptionist experience in medical or dental settings is a plus but not required
- Strong time management skills to prioritize tasks efficiently in a fast-paced environment
