The Shipping Coordinator manages the daily flow of outbound and inbound Finished Goods freight at our high-volume El Paso distribution center, with a heavy emphasis on cross-border shipments to and from Mexico. This role sits at the center of our supply chain, coordinating carriers, customs brokers, and internal teams to ensure every shipment crosses the border accurately, compliantly, and on schedule. The ideal candidate thrives in a fast-paced environment, understands the documentation rigor that international freight demands, and communicates fluently across both sides of the border.
Shipping & Freight Coordination
- Plan, schedule, and execute daily outbound and inbound shipments, prioritizing time-sensitive cross-border loads.
- Point of contact for the Mexican Shipping Teams for all Finished Goods arriving to the distribution center.
- Coordinate with warehouse personnel the shipping activity by providing shipping and picking list for the daily carrier pick ups.
- Coordinate with truckload (TL), less-than-truckload (LTL), and drayage carriers to secure capacity and meet bridge crossing windows.
- Generate, verify, and distribute shipping documentation including bills of lading (BOL), packing lists, and delivery confirmations.
- Schedule appointments with carriers and receiving facilities; manage dock door assignments and load sequencing to maximize throughput.
- Track shipments end-to-end, proactively communicate delays, and resolve in-transit exceptions.
Customs Compliance
- Prepare and review commercial invoices, certificates of origin, and USMCA documentation to ensure accuracy before tendering International loads.
- Support and uphold C-TPAT security protocols across all cross-border movements.
Documentation & Systems
- Enter and maintain accurate shipment data in the warehouse management system (WMS), transportation management system (TMS), and ERP.
- Maintain organized, audit-ready records of all shipping and customs documents.
- Generate shipping reports and KPIs (on-time shipping %, dock-to-stock time, crossing delays) for management review.
- Generate international shipping documents such as Commercial Invoice and Shipper Letter of Instructions
Cross-Functional Collaboration
- Partner with warehouse, inventory, and inbound receiving teams to align shipment readiness with carrier schedules.
- Serve as the primary point of contact between the distribution center, carriers, brokers, and freight forwarders.
- Communicate with internal stakeholders and counterparts in Mexico (in English and Spanish) to resolve issues quickly.
Continuous Improvement & Safety
- Identify bottlenecks in the shipping and crossing process and recommend process improvements.
- Follow all safety, security, and dock procedures; help maintain a clean, organized, and compliant shipping area.
Required Qualifications
- High school diploma or GED required; Associate's or Bachelor's degree in Logistics, Supply Chain, Business, or a related field preferred.
- 2+ years of experience in shipping, logistics, or distribution coordination, ideally with cross-border / international freight.
- Bilingual (English/Spanish) — able to read, write, and speak both fluently for daily communication with carriers and brokers in Mexico.
- Working knowledge of cross-border documentation: commercial invoices, BOLs, certificates of origin, and USMCA/origin requirements.
- Familiarity with customs processes, customs brokers, and CBP requirements.
- Proficiency with WMS/TMS/ERP platforms and Microsoft Office (especially Excel).
- Strong attention to detail and accuracy under deadline pressure.
- Excellent organizational, communication, and problem-solving skills.
Preferred Qualifications
- Direct experience with maquiladora, IMMEX, or in-bond shipment programs.
- Knowledge of Incoterms and international trade compliance.
- Familiarity with ACE filing and C-TPAT security standards.
- Experience working with El Paso / Juárez border crossings and regional drayage carriers.
- Hazmat shipping certification or willingness to obtain.

Physical Requirements & Work Environment
- Work is performed in an office and active warehouse/dock environment.

- Exposure to varying warehouse temperatures and dock conditions.
- Reliable attendance with flexibility around early-morning dispatch and end-of-day crossing deadlines.
