Position Summary:
We are seeking an enthusiastic and professional Medical Office Receptionist to join our team. This individual will serve as the welcoming face of the clinic, ensuring every patient receives an exceptional experience from the moment they walk through the door.
The ideal candidate will bring strong organizational skills, excellent communication, and a compassionate approach to patient service. This position is responsible for managing front desk operations, maintaining a smooth daily workflow, and supporting a positive and efficient clinic environment. From greeting patients and managing appointments to ensuring accurate records and effective communication between departments, this role plays a vital part in Craft Health’s commitment to quality care and operational excellence.
Key Responsibilities:
- Maintain a professional, relaxing, and inviting environment for all patients and guests.
- Greet and check in patients upon arrival, ensuring a seamless and welcoming experience.
- Manage front desk operations to ensure the area is staffed, organized, and efficient.
- Answer incoming calls and make outbound calls to schedule appointments, provide reminders, and follow up with patients.
- Perform accurate data entry and update patient information within electronic systems.
- Manage inbound and outbound mail and other administrative tasks.
- Collaborate with clinical and administrative staff to support daily operations.
- Uphold Craft Health’s service standards by demonstrating empathy, professionalism, and discretion.
- Handle patient inquiries and resolve issues with courtesy and efficiency.
Qualifications:
- Enthusiastic, engaging personality with a strong commitment to patient service and experience.
- Compassionate and professional communication style, both in person and over the phone.
- Excellent interpersonal, listening, oral, and written communication skills.
- High level of discretion and professionalism in working with confidential information.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Ability to multi-task, troubleshoot, and effectively handle a broad range of issues and people.
- Proficient in Microsoft Excel, Word, and Outlook, with the ability to learn new systems quickly.
- Self-motivated, dependable, and focused on continuous improvement.
- Available to work Monday through Friday between 8:00 a.m. and 6:00 p.m.
Preferred Skills/Experience:
- Prior experience in a medical or healthcare setting.
- Prior experience using EMR (Electronic Medical Records) or CRM software.
- Knowledge of the healthcare sector is a plus.
