Position Overview:
The Clinical & Front Office Floater plays a key role in supporting both front and back office operations. This position is responsible for ensuring seamless patient flow, maintaining clinical readiness, and delivering a consistently elevated, luxury patient experience. The ideal candidate is highly organized, proactive, detail-oriented, and presents with professionalism that reflects the brand at all times.
Key Responsibilities:
Clinical / Back Office Support:
- Prepare and maintain treatment rooms to ensure readiness for patient visits and procedures
- Coordinate with providers to ensure all advanced or larger treatments are properly set up in advance
- Assist as a back office coordinator, supporting daily clinical operations and workflow efficiency
- Support providers in delivering a high level of care, ensuring smooth patient transitions throughout treatments
- Assist in post-procedure processes, including sending post-operative instructions to patients
Patient Coordination & Experience:
- Deliver a high-touch, luxury patient experience at every point of contact, ensuring patients feel welcomed, comfortable, and well cared for
- Maintain a polished, professional appearance and uphold brand standards in presentation, communication, and demeanor at all times
- Capture and maintain high-quality before-and-after patient photos, ensuring accurate documentation and consistency
- Ensure no patient cases or follow-ups fall through the cracks by maintaining organized tracking systems and accurarate scheduling
Front Office & Patient Communication:
- Respond promptly to patient inquiries and leads via phone, text, and email
- Schedule appointments efficiently and provide timely follow-up reminders to keep patients on track with their treatment plans
- Collect and process patient payments accurately, ensuring proper entry into the billing system
- Send post-care instructions and provide future treatment recommendations as directed by providers
- Serve as a key point of communication between patients and providers
Sales & Practice Growth Support:
- Educate patients on treatment options and proactively recommend appropriate services
- Upsell non-surgical and select surgical treatments when aligned with patient goals
- Support providers in maximizing case completion, retention, and overall patient satisfaction
Provider Support:
- Support penthouse providers and clinical team members in optimizing daily schedules and efficiency
- Anticipate provider needs to ensure a seamless and elevated treatment experience
Additional Requirements:
- Ability and willingness to travel between locations (Beverly Hills & Pasadena) 1–2 times per week as needed to support operational and clinical needs
