Job Summary
We are looking for an organized, detail-oriented Office Administrator to support the day-to-day operations of our office and catering business. This position combines office administration, customer service, event coordination, invoicing, marketing support, and operational logistics. The ideal candidate enjoys working in a fast-paced small business, can manage multiple projects simultaneously, and communicates professionally with customers, vendors, and team members.
Duties
Customer Service & Sales
- Respond to customer inquiries by phone and email.
- Prepare catering proposals, quotes, and customer correspondence.
- Guide customers through products, services, and event planning.
- Follow up on proposals, payments, and event details.
Catering & Wholesale Coordination
- Coordinate catering and wholesale orders from inquiry through completion.
- Schedule deliveries, catering attendants, and equipment.
- Communicate with venues and customers regarding logistics and delivery requirements.
- Prepare event paperwork and internal instructions.
- Coordinate with production to ensure accurate and timely order fulfillment.
Administrative & Financial Support
- Create invoices, payment requests, and sales receipts.
- Process customer payments and refunds.
- Maintain customer records and payment information.
- Assist with accounts receivable and administrative reporting.
- Organize digital files, templates, and business documents.
Marketing & Office Support
- Create and update brochures, menus, pricing sheets, sales materials, and customer-facing marketing documents.
- Assist with social media and seasonal marketing projects.
- Maintain company forms, templates, branding assets, and digital files.
- Support day-to-day office operations and special projects.
Qualifications
- Excellent organizational and communication skills.
- Strong attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office and Google Workspace.
- Experience with QuickBooks is preferred.
- Customer service, hospitality, event planning, or office administration experience preferred.
This is a hands-on role in a small business, so responsibilities are diverse and may evolve based on business needs. The ideal candidate is flexible, organized, takes initiative, and enjoys wearing multiple hats.
Training will be provided on our products, procedures, and internal systems. We are looking for someone with a positive attitude, strong organizational skills, and a willingness to learn.
Pay: $22.00 - $25.00 per hour
