Busy Moms Healthcare is a fast-growing, women-focused medical clinic in Morgantown, WV. We provide primary care, gynecology, hormone therapy, weight management, and aesthetic services in a supportive, patient-centered environment.
We are hiring a Clinical Support Coordinator to join our team. This role is ideal for an organized, detail-oriented individual who enjoys problem-solving, communicating with patients, and helping providers deliver exceptional care.
Position Summary
The Clinical Support Coordinator plays a key role in supporting providers and ensuring efficient patient care behind the scenes. This position combines administrative medical assistant responsibilities with front desk support, focusing primarily on patient communication, clinical documentation, medication prior authorizations, and coordination of care rather than traditional patient intake or clinical procedures.
Primary Responsibilities
Clinical Support (Primary Focus)
- Triage incoming patient portal messages and telephone messages according to established protocols.
- Route clinical concerns appropriately and communicate provider recommendations to patients.
- Prepare and submit medication prior authorizations and appeals.
- Complete medication refill requests according to provider protocols.
- Coordinate referrals, diagnostic testing, and specialty consultations.
- Obtain outside medical records, laboratory results, and imaging reports.
- Review incoming documents and route them to the appropriate provider.
- Assist providers with documentation, order management, and follow-up tasks.
- Monitor provider task queues to ensure timely completion of patient care activities.
- Track outstanding labs, imaging, referrals, and patient follow-up needs.
- Maintain accurate and timely documentation within the electronic medical record (EMR).
Front Desk Support
- Assist with patient check-in and check-out during busy periods.
- Answer incoming phone calls and direct patients appropriately.
- Schedule appointments according to provider guidelines.
- Verify demographic and insurance information.
- Collect patient payments and maintain accurate financial documentation.
- Provide excellent customer service while maintaining patient confidentiality.
Administrative Responsibilities
- Maintain HIPAA compliance and patient confidentiality.
- Assist with quality improvement initiatives and workflow optimization.
- Support providers with administrative projects as assigned.
- Maintain knowledge of insurance requirements and payer guidelines.
- Collaborate with clinical and administrative staff to ensure seamless patient care.
This Position Does NOT Primarily Include
While cross-training is expected, this position is not primarily responsible for:
- Routine patient rooming
- Obtaining vital signs
- Blood draws or specimen collection
- Medication administration
- Assisting with in-office procedures
These responsibilities may be performed occasionally as needed to support clinic operations.
Qualifications
Required
- Medical Assistant certification or equivalent healthcare experience preferred
- Experience working in a medical office
- Strong computer and EMR skills
- Excellent written and verbal communication
- Exceptional organizational and time management skills
- Ability to prioritize multiple tasks in a fast-paced environment
- Professional, compassionate, and patient-centered approach
Preferred
- Experience with Athenahealth or similar EMR
- Prior authorization experience
- Women's health or primary care experience
- Insurance verification and referral coordination experience
