The Medical Registration Coordinator is a 12-month limited term position. This role provides focused coordination and administrative support for country-specific medical registration processes required for Mercy Ships crew serving in designated field service locations. The coordinator will help ensure that credentialing requirements, documentation, timelines, council or regulatory submissions, follow-up actions, renewals, and internal updates are organized and managed consistently across all applicable medical disciplines.
This is a detail-oriented coordination role designed to keep complex medical registration processes moving smoothly and to serve as a central point of organization for country-specific medical registration requirements. The coordinator will work closely with Volunteer Onboarding, Medical Credentialing, Medical Capacity, Ship People & Culture, and other key stakeholders to help ensure crew are
**Compensation range for this position is $47,000-52,000 annually
This is s full time, hybrid or remote role depending on location.

How You’ll Contribute
Registration Coordination
- Serve as the central coordinator for medical registration details for assigned countries or field service locations.
- Track requirements by council, agency, professional board, or regulatory authority.
- Maintain a clear overview of which crew roles require local credentialing and/or medical registration and which authority applies to each role.
- Monitor required timelines, including submission deadlines prior to crew arrival when applicable.
- Help ensure medical registration processes are initiated early enough to support crew arrival and service readiness.
- Support medical registration coordination across multiple professional categories, including physicians, dentists, nurses, pharmacists, psychologists, allied health professionals, and other applicable medical roles.
- Help maintain visibility of medical registration status across incoming crew, current crew, and long-term crew requiring renewal or updated documentation.
Documentation Management
- Coordinate the collection, review, and organization of required documentation from applicants, crew members, and internal teams.
- Track missing, incomplete, expired, or outdated documents and follow up with the appropriate parties.
- Maintain accurate records of submitted documents, pending items, regulatory responses, approvals, licenses, registrations, temporary permissions, and renewal needs.
- Ensure documentation requirements are clearly communicated to crew members and internal stakeholders.
- Help identify documentation exceptions, delays, or barriers and escalate them appropriately.
- Support consistent file organization and documentation practices to ensure information can be easily accessed by the appropriate teams.
Regulatory Submission Support
- Prepare and coordinate submissions to the appropriate country-specific councils, boards, agencies, or regulatory authorities.
- Monitor country-specific requirements, submission methods, processing timelines, and points of contact.
- Follow up on submitted applications and maintain visibility of progress through approval, registration, or renewal.
- Ensure responses, temporary registrations, PINs, licenses, approvals, or other medical registration outcomes are documented and shared with the appropriate teams.
- Support communication with external regulatory contacts when clarification, follow-up, or additional documentation is required.
Communication and Stakeholder Support
- Act as a coordination point between internal Mercy Ships teams and external regulatory contacts.
- Provide regular updates on medical registration status, risks, delays, upcoming deadlines, and unresolved questions.
- Support clear communication with crew members regarding credentialing requirements, documentation needs, and expected timelines.
- Escalate issues that may impact crew deployment, role readiness, field service planning, or regulatory compliance.
Process and Tracker Maintenance
- Maintain and update medical registration trackers, working documents, and country-specific requirement summaries.
- Document updated council or regulatory requirements, submission steps, contacts, processing times, role applicability, and renewal requirements as information changes.
- Help ensure medical registration knowledge is not dependent on one individual by maintaining clear documentation and shared resources.
Renewal and Long-Term Crew Support
- Track temporary registration periods, renewal deadlines, and ongoing medical registration needs where applicable.
- Coordinate renewal requests for crew serving beyond initial registration periods.
- Help ensure renewal letters, supporting documentation, and follow-up actions are completed on time.
- Escalate questions requiring regulatory guidance or leadership review.
- Maintain visibility of upcoming expiration dates to reduce the risk of lapses in medical registration coverage.

- Clear written and verbal communication skills.
- Ability to work across cultures, functions, and professional groups.
- Experience supporting credentialing, licensing, compliance, onboarding, healthcare administration, volunteer deployment, or HR processes preferred.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency with Microsoft SharePoint, Excel or similar tracking tools required.
- Familiarity with medical or healthcare credentialing processes preferred but not required.
- Experience working with international regulatory requirements or cross-cultural administrative processes is helpful
