Essential Functions/Duties/Responsibilities:
- Provide administrative and operational support to the Community Services department.
- Coordinate all aspects of resident move-ins and move-outs.
- Serve as liaison between residents, vendors, and internal departments.
- Monitor residence availability and refurbishment status.
- Oversee refurbishment and upgrades with maintenance teams.
- Maintain schedules and timelines.
- Prepare reports on sales, inventory, and occupancy.
- Perform data entry and maintain records.
- Support daily operations.
- Maintain awareness of safety procedures.
- Manage work orders, answer phone calls and emails.
- Process invoices and relevant paperwork.
- Prepare correspondence, reports, and presentations.
- Handle confidential information with the utmost discretion.
- Coordinate and manage special projects.
- Provide administrative support to the Director of Community Services and team.
- Prepare and submit expense reports and manage purchase requisitions according to company policies and procedures.
- Work and coordinate projects and maintenance requests with various Vendors.
- Prepare documentation for preventative maintenance plans and emergency management programs.
Required Skills/Abilities/Competencies:
- Proficiency with MS Office (e.g., Word, Excel, PowerPoint, Teams, Outlook), Adobe Acrobat, DocuSign.
- High level of maturity, and ability to exercise good judgement, discretion, and confidentiality in all tasks.
- Able to remain organized and focused in a fast-paced, high-performance environment.
- Expertise in written and verbal communication, demonstrating strategic, professional, and succinct communication.
- Be a forward thinker and anticipate needs.
- Able to work independently and be a problem solver/solution oriented.
Education and Experience:
- 5+ years of relevant experience.
- Experience in healthcare or senior living industry is a plus.
Physical Requirements:
- The physical activity of this position constantly requires effective talking, hearing, sitting, walking, and standing functions.
- The position also often involves sedentary work where sitting is required most of the time, with occasional standing or walking.
- The position also often requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
