Job Overview
We are seeking a dynamic and professional Administrative Assistant to join our team. The ideal candidate will be the first point of contact for clients and visitors, ensuring a positive and welcoming experience. Additionally, the candidate will provide administrative support to the Partners and staff. This is an entry level position with opportunity for growth for the right candidate.
Responsibilities
Reception Duties:
- Greet and welcome clients and visitors in a courteous and professional manner.
- Answer, screen, and forward incoming calls promptly.
- Maintain a neat and organized lobby/reception area.
- Manage inquiries via phone, email, and in-person, directing them to the appropriate individuals or departments.
Administrative Support:
- Provide a variety of administrative support to the Partners and staff.
- Scanning, printing and/or filing documents.
- Conference room and/or virtual meeting set-up.
- Calendaring of meetings/events.
- Attorney time entry.
- Work together with our NYC office to connect attorneys, coordinate meetings, new hire set-up, etc.
Miscellaneous Duties:
- Handle incoming and outgoing mail and packages.
- Maintain confidentiality and discretion with sensitive information.
- Assist with ad-hoc projects and tasks as assigned by management.
- Facilities support (managing repairs, vendors, etc.).
- Office supply inventory & tracking.
Requirements:
- Positive, professional, “can-do” personality.
- Excellent communication skills, both verbal and written.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and virtual meeting applications (Zoom, WebEx).
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Professional demeanor and customer service-oriented attitude.
- Bachelor’s degree.

Salary: $50,000 - $65,000 per year.
