Job Summary: What You'll Do
As a Facility Operations Specialist, you will be responsible for managing daily physical infrastructure, multi-site facility operations, and tenant administration across HCT America’s headquarters and auxiliary sites in California. This proactive role oversees site maintenance, daily operational reporting, general contractor (GC) management, city permitting for office relocation/renovation projects, and tenant lease compliance. Combining hands-on operational execution with strategic workplace planning, the ideal candidate ensures smooth facility functionality, regulatory compliance, and seamless cross-departmental administrative support.
Key Responsibilities
1. Facility & Multi-Site Operations Management
- Oversee daily physical plant operations, building maintenance, routine site inspections, and preventive equipment maintenance across multiple company facilities.
- Prepare, analyze, and present comprehensive daily and weekly facility operational reports, tracking maintenance schedules, utility usage, and facility risk metrics.
- Plan and execute new workplace operation projects, facility infrastructure upgrades, and office relocation or space optimization initiatives.
- Coordinate with municipal authorities and city departments to obtain necessary building, safety, and operational permits, while supervising general contractors for site modifications.
- Serve as the primary point of contact for building tenants to address operational requests, coordinate basic commercial lease documentation, tenant logistics, and CAM tracking alongside external property vendors and internal finance.
2. Procurement & Vendor Governance
- Source, negotiate, and evaluate external service vendors (HVAC, janitorial, security, landscaping, others) to ensure high service standards and cost efficiency.
- Manage purchasing workflows for office supplies, lab operational equipment, and facility tools while maintaining accurate inventory records.
- Ensure site compliance with Environmental Health & Safety (EHS), ISO standards, local fire codes, and internal safety policies.
- Assist in tracking operational expenditure budgets, reviewing vendor invoices, and organizing internal company events and seminars.
3. IT & Infrastructure Support
- Partner with IT and security teams to support basic hardware setup, network printing, badging systems, and VPN infrastructure troubleshooting.
- Coordinate with external IT vendors for system upgrades, network troubleshooting, and data protection policy enforcement.
- Maintain physical site security standards, access control protocols, and emergency response procedures across all facilities.
4. Cross-Departmental Support & Operational Continuity
- Act as the primary internal liaison for facility and administrative needs across all operational departments to maintain seamless daily operations.
- Identify operational bottlenecks proactively and execute practical solutions to ensure zero downtime for laboratory and office activities.
- Support cross-functional administrative projects, facility scheduling, and ad-hoc operational tasks as assigned by management
Qualification & Skills
- Minimum 2 years of direct experience in facilities management, workplace operations, commercial real estate, or administrative site operations.
- Proven hands-on experience managing multi-site facilities, supervising general contractors, and navigating city permitting processes for commercial spaces.
- Strong analytical skills with the ability to write structured daily facility reports and manage operational budgets effectively.
- Working knowledge of building safety codes, EHS/ISO compliance, and basic IT/security infrastructure setup is plus.
- Basic exposure to tenant communication, vendor contract oversight, and commercial lease tracking is plus.
- Fluent bilingual communication skills in English and Korean required to interface effectively with global leadership and local vendors.
- Self-motivated, proactive problem-solver with exceptional organizational and multi-tasking capabilities.
- Must possess legal authorization to work in the United States without current or future visa sponsorship requirements.

Pay: $60,000.00 - $98,000.00 per year
